Assistant Community Manager
We are seeking an organized, customer-focused, and detail-oriented Assistant Community Manager to join our team. In this role, you will partner closely with the Community Manager to oversee daily property operations, maintain financial health, and foster a positive living experience for our residents. The ideal candidate balances strong administrative and bookkeeping capabilities with excellent communication and conflict-resolution skills.
Key Responsibilities
Financial & Administrative Management
- Oversee rent collection by processing monthly payments, scanning checks, and posting transactions to the ledger.
- Manage delinquencies by making weekly follow-up calls, issuing late notices, and coordinating legal eviction processes when necessary.
- Review account ledgers regularly verify billing accuracy, process security deposit refunds (SODAs), and correct discrepancies.
- Assist with financial reporting including the preparation of monthly variance reports and draft annual operating budgets.
- Manage applications for home purchases and rentals.
- Assists the CM, Maintenance Manager, & Maintenance Technicians with quarterly health & safety inspections.
- This role manages Front Desk operations, focusing on guest services and operations systems (TEM, Manage America, Avid).
Leasing & Resident Relations
- Support leasing efforts by conducting property tours, responding to inbound leads, and guiding prospects through the application process.
- Process lease agreements accurately, ensuring all tenant verification, income calculations, and paperwork comply with regulatory guidelines.
- Administering leasing workflows, including file maintenance, coordination of moveins/move-outs, and support for broker/resident/tenant communications as needed.
- Resolve resident concerns and de-escalate disputes with professionalism, empathy, and structured follow-through.
Operations & Compliance
- Enforce community rules by conducting regular property inspections, logging violations, and drafting formal correspondence.
- Coordinate maintenance requests by logging service orders quickly and following up with residents to ensure satisfaction.
- Assume leadership responsibilities and maintain operational continuity when the Lead Community Manager is off-site.
- Trains, motivates, and coaches staff members in the execution of their duties.
- Shares professional staff on-call responsibilities with the Community Manager and is available to respond to emergencies and situations.
- Assists the CM, Maintenance Manager, & Maintenance Technicians with quarterly health & safety inspections.
- Coordinate maintenance requests and follow up with vendors, tenants, and property owners.
- Respond to phone calls, emails, and resident inquiries in a professional and timely manner.
- Assist with move-ins, move-outs, and lease administration.
- Maintain accurate property records and documentation.
- Coordinate with vendors and contractors to ensure work is completed properly and on schedule.
- Support property inspections and follow-up activities as needed.
- Assist with general office and administrative functions related to property management.
Education and Experience
- Education: High School Diploma or GED equivalent.
- Experience: Minimum of 1–2 years in residential property management, leasing, or an HOA administrative support role.
- Office Tools: Strong proficiency in the Microsoft Office Suite, specifically Word, Excel, and Outlook.
- The position requires strong administrative skills, proficiency in MS Office, multitasking ability, strong communication skills both written and verbal.
