ICMA is currently seeking an Assistant Program Manager – to assist the Membership Benefits & Services and Professional Development teams to identify, create and execute membership support and growth initiatives. This position will work across both teams to identify and cultivate prospective members who would benefit from a deeper connection with ICMA.

The Assistant Program Manager will analyze data to execute a strategy for outreach to prospective members, many of whom participate in professional development programs as nonmembers. This position will also oversee the ICMA Coach Connect program and be responsible for program growth, member engagement, and marketing.

This individual will also play a pivotal role in monitoring and maintaining data accuracy, researching, compiling and analyzing data, generating reports, completing internal forms, and creating content for member and non-member communications using various platforms.

The selected candidate will work onsite at our state-of-the-art headquarters three days a week or more, as needed, based on the organization's priorities.

The salary for the Assistant Program Manager, Member Benefits and Services/Professional Development role is based on experience, with a range of $52,910 - $66,137.

This position has a dual supervisory structure and reports to the Director, Member Benefits & Services and the Director, Professional Development Operations.

What you'll do:

1. Professional Development (approximately 50% of time)

  • Analyze registration data from professional development programming to identify nonmembers for recruitment.
  • Support all aspects of the ICMA Coaching Program, which includes Coach Connect, Coaching Webinars (6 per year), Career Compass monthly newsletter articles, and Speed Coaching (at conference).
  • Provide program support for Coaching Webinar program, including correspondence with presenters, scheduling events, and coordinating with marketing and the webinar manager so that the webinar manager has all components to produce a quality event.
  • Support efforts to increase engagement on the Coach Connect platform, including working with marketing team to help carry out marketing initiatives to promote Coach Connect as a complimentary member benefit and sending a monthly newsletter.
  • Analyze registration data from coaching webinars and promote Coach Connect as an entry point for nonmembers to join ICMA.
  1. 2. Member Benefits and Services – (approximately 50% of time)
  • Analyze data and report on trends in membership, identifying areas of focus for membership recruitment and retention.
  • Research and compile targeted non-member data for specific recruitment campaigns.
  • Prepare and perform outreach through various communications channels to recruit new membership.
  • Supports retention efforts bi-annually via outreach, data analysis, tracking and reporting.
  • Assists with data input and running queries in database.
  • Update and maintain member data; generate related reports. Note and report data trends and gaps.
  • Analyze data for inaccuracies and clean up data in the association management system.
  • Provides phone coverage during specified times via RingCentral queue.
  • Update goals and progress in Monday.com. Define and document processes (SOPs) and drive continuous improvement using measurement/metrics data; create analytics that give leaders insights into objectives and key results on programs.

What you need to be successful in this role:

  • Bachelor's degree in relevant discipline or equivalent experience.
  • Two (2) or more years of experience in program or program/project management (may include internships and/or volunteer work).

Knowledge, Skills, and Abilities (KSAs)

  • Ability to meet deadlines and adhere to a schedule
  • Proven ability to orchestrate activities and problem solve across multiple stakeholder teams, leading others in delivery of a solution
  • Ability to establish and maintain effective working relationships with internal and external parties
  • Excellent organizational skills and attention to detail
  • Excellent communication, presentation, analytical, planning, and process development skills
  • Demonstrated ability to respond effectively to multiple priorities, continuously prioritize deliverables, and to respond in a dynamic work environment
  • Strong analytical and data analysis skills
  • Highly proficient with Microsoft Office Suite, virtual platforms, and association management software
  • Interest in Local Government or membership associations preferred
  • Experience with database required; website management preferred

  • Work requires travel up to 10% of time, primarily within the U.S.

This position is based out of ICMA's headquarters, located in Washington, D.C. The selected individual must be able to work the core business hours from 8:30 am to 5:00 pm ET.

A high-speed internet connection is required when working virtually. Personnel will provide the internet service at their own expense. The internet connection must be of sufficient bandwidth to allow the team member to efficiently perform their regular job functions and participate in virtual meetings.
