Assistant Project Manager
Position Summary
The Assistant Project Manager (APM) works closely with Project Managers to ensure projects remain on schedule, within budget, and compliant with contractual obligations. The APM takes ownership of specific project tasks such as RFIs, submittals, client communication, permitting, and environmental processes, while also providing guidance and oversight to support staff to ensure seamless coordination across project teams. This role is primarily office-based but may require occasional field engagements.
Essential Duties and Responsibilities
• Team Leadership: Leads and provides guidance to project support staff, ensuring alignment with project goals and priorities.
• Project Coordination: Assists in managing and coordinating all aspects of project execution, ensuring adherence to timelines and budgets.
• Contract Administration: Takes ownership of specific project tasks such as RFIs, submittals, and client communication with field teams; assists in preparing and processing contracts and change orders.
• Budget & Invoicing: Ensures timely and accurate invoicing, including collection and validation of necessary documentation; assists with project budget tracking, data entry, and report generation.
• Subcontractor Management: Supports the management of subcontractors, ensuring compliance with contracts, schedules, and deliverables.
• Schedule Monitoring: Monitors and updates project schedules, ensuring key milestones are tracked and met.
• Client Communication: Communicates with clients regularly to provide project updates, address concerns, and maintain strong relationships.
• Environmental & Permitting: Takes ownership of environmental processes (clearance, notifications, monitor scheduling) and project permitting, ensuring team compliance with associated training requirements.
• Field Support & Outreach: Provides daily communication with internal field leadership/crews, performs public outreach and stakeholder engagement as required, and performs other duties as assigned.
Minimum Qualifications
• Education: High school diploma required; an associate or bachelor’s degree in business administration, construction management, or a related field is highly desirable.
• Experience: A minimum of three to six years of project coordination or project management support experience, preferably in construction, engineering, utilities, or a related industry.
• Skills & Abilities: Strong leadership, project coordination, and task management skills; proficiency in contract administration (RFIs, submittals, change orders, permitting); ability to manage subcontractors and vendors; strong analytical skills for budget tracking and financial reporting; excellent written and verbal communication; proficiency in Microsoft Office (Excel, Word, Outlook) and project management software; understanding of environmental processes and permitting requirements.
• Certification: Certified Associate in Project Management (CAPM) or a similar certification is required and may be obtained within one year of placement in the role.
• License: Possession of a valid Pennsylvania driver's license, with the ability to maintain insurability under the company’s insurance carrier, is required.
Work Environment and Physical Demands
This is primarily an office-based position located in Wilkes-Barre, PA. The role requires extensive use of a computer, phone, and standard office equipment; occasional field engagements to project sites, permitting locations, or client meetings; the ability to travel locally as needed; and the ability to work flexible hours to meet project deadlines and coordinate with field teams and stakeholders.
