Assistant Project Manager

The Project Coordinator supports the Project Management team by coordinating project activities, documentation, and communication from initiation through completion. This role assists with order tracking, material coordination, subcontractor support, customer communication, and project closeout documentation to help ensure projects stay organized, accurate, and on schedule. The Project Coordinator serves as a key internal partner to Project Managers and helps resolve issues by identifying solutions and escalating when needed.
Essential Functions

Monitor project schedules, material lead times, subcontractor activities, and outstanding action items.
Assist with identifying and resolving issues related to drawings, field conditions, materials, scheduling, and installation.
Perform job site visits as needed to verify field conditions, support installation progress, and assist with site-specific issues.
Receive, enter, and process project-related documentation including work orders, quotes, and sales orders, as applicable.
Track project orders and provide status updates, including shipment tracking and warehouse coordination.
Communicate effectively with customers, suppliers, subcontractors, and internal teams via phone and email as necessary.
Coordinate and monitor subcontractor performance and support scheduling and resource planning as needed.
Assist with ordering, releasing, and coordinating parts and materials required to support project execution.
Assist with change order preparation, pricing, approvals and documentation.
Support the project submittal process including product data sheets, samples, schedules, RFIs, specifications and related documentation.
Assist with project closeout documents and ensure required documentation is completed and delivered.
Identify and help resolve project issues efficiently; communicate both the issue and proposed resolution to appropriate parties, escalating to the Project Manager/Team Lead as needed.
Perform job site visits as needed to verify field conditions, support installation progress, and assist with site-specific issues.
Provide general administrative and coordination support to the Project Management team, including project-related reporting as needed.
Be a liaison between the accounting and project team to assess project profitability and execution.
Perform other duties as assigned.

Minimum Qualifications

High school diploma or equivalent required; additional education (Associate’s or Bachelor’s degree) preferred.
2+ years of experience in a project coordination, administrative support, project management support, construction experiance, or similar role preferred.
Proficient in Microsoft Office products including Excel, Word, and Outlook, Adobe, BlueBeam and/or AutoCAD
Experience with Procore and or relevant construction software.
Functional working knowledge of computers and office systems.

Knowledge, Skills and Abilities

Ability to read and interpret construction drawings, specifications, and project documents.
Ability to read, analyzes and interpret common technical journals, and legal documents such as contracts
Ability to respond to common inquiries or complaints from Customers, regulatory agencies, or members of the business community
Ability to apply mathematical concepts calculating margins, linear foot and square foot and man-hours
Ability to define problems, collect data, establish facts, and draw valid conclusions
Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables
