ASSISTANT UNIT MANAGER, MATERNITY WARD

Job Description:

ORGANIZATION AND MANAGEMENT

  • Enforce high standards of care that are delivered safely, effectively, efficiently, and compassionately, while also organizing, directing, and coordinating with other facilities' services.
  • Establish clear directions for the nursing team to ensure evidence-based practice.
  • Collaborate with the nursing team, consultants, doctors, and other personnel to oversee patient care delivery for optimal client satisfaction.
  • Execute the nursing rounds on all patients in the unit to ensure patient-focused, holistic care is given and to ascertain other additional needs.
  • Participate in planning, implementing, and evaluating nursing facilities and services.
  • Engage in health education for patients and their families in the ward
  • Gather and analyze the nursing statistics, performances, activities, improvements, and achievements.
  • Collaborate with the Unit Manager to manage continuous quality improvement in patient care using audits and monitoring compliance with service and professional standards.
  • Organize regular staff meetings to disseminate and discuss issues in nursing services.
  • Represent the unit manager at the head of services meeting and hospital clinical committee meeting to work towards achieving common goals.
  • Collaborate with the unit manager in administration, setting care standards, and fulfilling duties in the absence of the unit manager, while also carrying out assigned tasks and providing feedback.
  • Monitor patient charges for completeness and charge accordingly

HUMAN RESOURCE AND DEVELOPMENT

  • Participate in the recruitment, interviews, and selection of staff for the services.
  • Participate in a structured orientation program where new nursing staff are briefed on the services and relevant aspects of the facility to prepare them for their roles and responsibilities
  • Executes a staff development program to provide the knowledge and skills required for staff to maintain competency, meet the organizational needs, and pursue their personal and professional growth.
  • Provide clear and accurate job descriptions and conduct annual performance evaluations.
  • Establish a process to privilege specific procedures for nurses in their respective departments and encourage staff to critically assess their nursing practices and pursue ongoing education programs.
  • Collaborate with the In-Service Education Unit for clinical training in the services
  • Maintains a record of staff sick leave, notes significant trends in sick leave, and prepares sick leave statistics monthly or annually as required.
  • Guides the staff in solving complaints concerning patients, relatives, and staff using the appropriate communication channels
  • Counsels staff that habitually violates Hospital Policies and Procedures or do not comply with nursing standards and code of ethics before recommending appropriate disciplinary action
  • Participates in research initiatives and advocates for quality improvement through evidence-based practice.

POLICIES AND PROCEDURES

  • Participates in the review and revision of nursing policies, procedures, and work instructions, providing valuable insights, promoting best practices for optimal patient care, and continuously improving the process.
  • Monitor the compliance with all policies and procedures of various quality and safety systems, including MS ISO 9001:2008, ISO 14001, OHSAS 18001, Patient Safety Goals, National Nursing Audits, and other accredited standards like Malaysian Hospital Accreditation Standards and HACCP Netherlands.
  • Monitor the prevention and control of infection, including the implementation of surveillance activity in the unit and evidence of involvement.
  • Organize regular checking on the management of drugs aligned with hospital policies and procedures
  • Maintain confidentiality of the patient’s personal and medical history

FACILITIES AND EQUIPMENT

  • Maintain records of equipment and inventory, including calibration for medical supplies and drug storage.
  • Monitor that the emergency trolley is checked as per the stipulated policy and conduct audits at regular intervals for compliance.
  • Collaborate with the unit manager in planning the service budget, including the purchase of new items.
  • Provide on-the-job training and guidance to new staff, including the cleaning of medical equipment

SAFETY AND QUALITY IMPROVEMENT ACTIVITIES

  • Monitor activities that contribute towards the continuous improvement of nursing services, such as Quality Assurance, Infection Prevention & Control, and Fire and Safety Programs.
  • Monitor and propose the quality of care/service in the designated unit and initiate action and implementation of corrective measures as needed.
  • Manage investigations and root cause analyses for any incidents in the services, take appropriate action, and ensure completion of incident reports within the stipulated time frame.
  • Participate and contribute to the Baby Friendly Hospital Initiative certification, with a focus on promoting exclusive breastfeeding, MSQH and JCI
  • Enforce staff to adhere to Standard People Practice (SPP) and implement Malaysian Patient Safety Goals 2.0.

Requirements:

Education:

  • Registered with the Nursing Board of Malaysia with a valid license to practice as a Registered Nurse

  • Post Basic qualification in a related field

  • Preferably with Bachelor of Nursing

Knowledge and Experiences:

  • Registered Nurse with at least 8 years of clinical experience and diversity in clinical experience.

Skills & Competencies:

  • Leadership Program

  • Possess certifications in BLS, ACLS, MTLS, PALS and NRP (according to the specialties)

Special skills are required.

  • Proficient in writing and conversing in English and Bahasa Malaysia.

  • Caring, honest, and responsible workers and team player

  • Basic financial knowledge

  • Microsoft Office literacy
