Objectives
The Manager, Employee Enablement, based in Hong Kong within the IBG COO Office – Employee Experience & Engagement department, is responsible for facilitating a seamless work-life cycle for IBG colleagues. This includes managing onboarding, daily workplace enablement, engagement, continuity support, and exit/transition coordination. The role aims to provide reliable operational coordination across various IT and workplace readiness matters to support daily effectiveness. Additionally, this position supports the IBG COO HK Office and the Employee Experience Team in delivering colleague-focused enablement, engagement, administration, Business Continuity Plan (BCP) coordination, and employee journey improvement actions.
Principal Responsibilities
Coordinate onboarding, daily workplace enablement, engagement, continuity support, and exit/transition activities for IBG colleagues
Manage user ID administration, system access, and software license requests, including maintaining status trackers and following up with relevant teams and vendors
Support workplace readiness for new joiners, movers, and leavers, encompassing PC onboarding, exit, refreshment, centralized storage, and related operational dependencies
Maintain and update procedures and user guidelines to ensure consistency in Employee Experience operations
Follow up on Authorized Signatory, organization chart updates, and BCP actions, providing clear trackers and progress updates
Support colleague engagement activities such as town halls, appreciation events, and wellness programs, including logistics coordination, vendor follow-up, and on-site execution
Track employee journey and workplace improvement actions, escalating delays or risks as needed
Collaborate with Employee Experience teammates and stakeholders on IBG and COO HK Office initiatives
Assist with ad hoc projects for the IBG and COO HK Office, including coordination, documentation, and expense follow-up
Support BCP coordination, including annual drills, staff awareness, and completion of required follow-up actions
Key Accountabilities
Provide dependable administrative and operational support to IBG staff, fostering an organized, service-oriented, and efficient office environment
Act as a coordinator between IBG users and supporting units for daily office administration, user access, PC coordination, software licenses, and system support
Ensure timely and accurate updates of user profiles, system access records, Authorized Signatory records, organization charts, and relevant trackers
Handle staff administrative requests, including office supplies, equipment requisition, inventory management, and payment settlement
Maintain proper documentation and operating procedures for key administrative and enablement processes
Provide effective coordination for PC onboarding/exit/refreshment, centralized storage, BCP activities, and employee enablement actions
Support employee engagement programs through disciplined logistics planning, stakeholder follow-up, and execution
Track improvement actions and prepare concise progress updates for management oversight and timely issue escalation
Assist in managing contract staff and cross-support other Employee Experience team functions and IBG initiatives
Requirements
Minimum of 8 years of relevant experience in employee experience support, office operations, or similar coordination roles
Hands-on experience in coordinating user access, system support, PC/workplace readiness, inventory, vendor follow-up, event logistics, and administrative governance is preferred
Structured approach with a strong service mindset, ownership, stakeholder follow-through, and governance discipline
Good understanding of office administration, employee enablement, user access coordination, PC/workplace readiness processes, and BCP requirements
Strong attention to detail, organizational skills, and ability to maintain accurate trackers and procedures
Customer-oriented with excellent communication, interpersonal, and stakeholder management skills
Team player with flexibility to cross-support various functions.
Self-motivated, proactive, and capable of managing multiple tasks independently with timely escalation of issues
High proficiency in MS Office applications (Word, Excel, PowerPoint) for creating trackers, documentation, and updates
