Position Summary
The Associate Director of Admissions is a member of the Admissions Team who collaborates across all aspects of the enrollment management process, and actively engages in recruiting and enrolling mission-aligned students. As a member of the Admissions Team, this person will help widen/increase the Admissions funnel by engaging prospective families through community events, sponsorships, feeder school outreach, and middle school programming. They will work closely with the Director of Admissions to develop strategic and creative outreach to help meet the school’s enrollment goals, and to design and execute strategic, impactful admission events on and off campus to optimize prospective families’ experiences. The ideal candidate approaches the work proactively, anticipates needs and opportunities before they arise, and demonstrates strong initiative in helping the admissions team stay ahead of enrollment goals, family engagement, and community outreach efforts.
Key Responsibilities
Recruitment & Outreach
- With the Director of Admissions, identify emerging recruitment opportunities, anticipate market and enrollment trends, and recommend innovative strategies to expand the school’s reach and strengthen the applicant pipeline.
- Build relationships with feeder schools, educational consultants, and community organizations to build a diverse applicant pipeline.
- Execute communication strategies and a marketing plan to engage prospective students, families, educational consultants, feeder school heads and administrators, and others who may play a direct or indirect role in recruitment/admissions.
- Represent the school at external recruitment events i.e., admissions fairs, school visits, open houses, and community events.
- Conduct campus tours and presentations for prospective families.
- In partnership with the Director of Admissions, manage a robust student ambassador and parent volunteer program.
Event Coordination and Execution
- Design, plan, and execute admission and admission-related events, including but not limited to: Open Houses, Shadow Days, Campus Tours, Middle School Outreach Events, Panther Chat Interview Days, and Accepted Student/Yield Events. This will include some evenings and weekends, especially during September - May.
- Manage all aspects of the Shadow Visit Program.
- Coordinate ambassador participation in tours, shadow days, admissions events, and outreach activities.
- Assist the Auxiliary Program Director with the middle school program, Panther Pathways, execution.
- Collaborate with faculty, student ambassadors, and staff to create welcoming and engaging events.
- Work with the Director of Admissions to recruit, manage, and train student and parent volunteers to serve as ambassadors for events on and off campus.
- Manage “Pres at Home” prospective family events with current parents and auxiliary staff.
Admissions & Enrollment Management
- Communicate with prospective families and constituencies in a timely, warm, thoughtful, and professional manner, anticipating questions, concerns, and touchpoints throughout the admissions process.
- Provide counsel to families as they navigate the private school admissions and financial aid process, from inquiry through matriculation, with empathy and patience.
- Serve as a member of the review committee, read and evaluate applications, and make recommendations to the Director of Admissions and the Applicant Review Committee.
- Manage shadow visits, tours, and admissions events.
- Interview prospective applicants.
- Collaborate in executing yield events by nurturing admitted families through events and outreach until enrollment is confirmed.
- Continually seek new opportunities to improve upon existing admission and financial aid practices.
- Maintain and analyze statistical data. Track admissions metrics and enrollment trends. Generate reports related to inquiries, applications, yield, and enrollment. Assist in analyzing recruitment strategies and recommend growth opportunities. Maintain confidentiality of student and family information.
- Support enrollment goals through consistent follow-up and family engagement.
Community Collaboration & Communication
- Cultivate and maintain relationships with members of the Presentation community: students, employees, and alumnae.
- Participate, engage, and attend the Presentation’s community events.
- Partner closely with marketing, athletics, academics, student life, and finance teams to support enrollment initiatives.
- Collaborate with faculty and staff involved in admissions interviews and applicant evaluations.
- Contribute to a positive, mission-driven team environment.
Marketing and Communications
- Support the planning and promotion of admissions events, including Open Houses, student visit programs, and yield activities, ensuring timely, effective communication with all audiences.
- Maintain exceptional attention to detail in all verbal and written communications with prospective families, students, faculty, colleagues, and community partners. Ensure that communications are polished, accurate, professional, warm, and responsive.
- In partnership with Marketing, review and proofread admission materials and correspondence carefully to ensure clarity, consistency, accuracy, and alignment with institutional standards and tone.
- Demonstrate strong organizational skills and follow-through in managing communication timelines, data accuracy, and project deliverables.
- Represent the school professionally and enthusiastically in all interactions, recognizing that every communication contributes to a family’s experience and perception of the school.
- Demonstrate strong foresight and organization, the ability to think several steps ahead, and effectively manage timelines, communications, and event logistics to ensure an exceptional and seamless experience for prospective families.
Administrative work
- Assist the Director with institutional research needs, including the collection and analysis of relevant data.
