Associate Fleet Service Advisor or Fleet Service Advisor

The purpose of this position is to perform as a liaison between fleet, its customers, and outside vendors. This position assists with processing vehicles and construction equipment for planned and unplanned maintenance, which includes accurate data entry of information into the fleet information asset management system. Various reporting, fuel card maintenance, and some contract payment payments are required.

Supervisory Responsibilities
This position does not have formal supervisory responsibilities over other employees.

Position Summary – Associate Fleet Service Advisor

Under direct supervision assist with the planning and scheduling maintenance of fixed assets in support of section and personnel. Assist with the creation, maintenance, and planning of the asset registry and preventive maintenance systems in the CMMS (Computerized Maintenance Management System).

Essential Duties and Responsibilities

• Receives work requests from internal drivers and operators. Takes detailed information of work needed and starts the repair process.
• Monitors current work being performed by fleet staff and commercial vendors to ensure fleet assets are progressing through the repair process, and all applicable updates are made in the fleet information management system.
• Create fleet asset management information via reporting features within the system.
• At the completion of work, reviews notes, labor times, and commercial charges to ensure accurate data is captured.
• Use asset management system to assist in planned and scheduled activities related to maintaining and extending the life of fleet assets for each respective section.
• Create accurate rental reservations for fleet asset rental units, and monitor rental units are cleaned and refueled.
• Assist supporting sections by using asset management system to gather and input data as needed.
• Process all fleet related invoicing to ensure contract compliance and commercial service are paid in a timely manner.
• Research practices and procedures according to accepted industry standards.
• Maintain an online technical manual library of documented practices and procedures.
• Assist leadership and internal customers with asset management reporting.
• Coordinate with vendors to ensure timely repairs of assets are accurately performed .
• Perform commercial vendor site visits to pick up and drop off fleet assets and documentation for commercial repairs.
• May be required to perform on call duty, work shifts, weekends, holidays and overtime as directed, and work outdoors in a variety of weather conditions.
• Perform related work as required.
