The Role
As our Logistics Accounting & Settlement Specialist, you own the billing and settlement cycle end to end: preparing and verifying customer invoices, processing carrier settlements and accounts payable, matching rates and costs to confirmations and bills of lading (BOLs), reconciling discrepancies, and supporting month-end and project closing.
You will keep clean, accurate records in Excel and our accounting/ERP system and produce clear cost and revenue reports for management. Because you work alongside the operations team, you will understand the real loads and lanes behind each dollar — which makes your numbers sharper and your reconciliations faster
Key Responsibilities:
- Prepare, verify, and issue customer invoices; confirm each invoice matches the agreed rate, load, and supporting documentation.
- Process carrier settlements and accounts payable; ensure carriers and vendors are paid accurately and on time.
- Match rates and costs against load confirmations, bills of lading (BOLs), permits, and escort charges; flag and resolve any mismatch.
- Research and reconcile billing and payment discrepancies with customers, carriers, and internal operations.
- Support month-end close and project closing on schedule, including accruals, cost tracking, and account reconciliations.
- Maintain accurate, well-organized records and files in Excel and the company accounting/ERP system.
- Produce basic cost and revenue reports and summaries for management.
- Partner with the live operations team to understand each load, so billing and settlement reflect what actually happened in the field.
- Help maintain and improve billing, settlement, and closing procedures for accuracy and speed.
- Travel occasionally to project or destination sites to support the operation as needed.
- Perform other related duties and ad-hoc projects as assigned by leadership.
Required Qualifications:
- High school diploma or equivalent (GED).
- Strong attention to detail and accuracy with numbers.
- Comfort working in Microsoft Excel (entering, organizing, and checking data).
- Solid organization and reliability with deadlines.
- Clear written and verbal communication for coordinating with customers, carriers, and coworkers.
Preferred Qualifications:
- Coursework, a certificate, or a degree in accounting, bookkeeping, finance, or a related area — or hands-on experience in billing, accounts payable/receivable, settlement, or bookkeeping.
- Experience in logistics, transportation, freight, or supply chain.
- Familiarity with an accounting or ERP system (e.g., Gaia) or a transportation management system (TMS).
- Experience reconciling accounts or supporting a month-end close.
Physical Demands & Work Environment
- Ability to sit, stand, and walk for extended periods in an office environment.
- Must be able to lift up to 15 pounds at times.
- Ability to access and safely navigate each department and operational site.
- Travel: The employee must be able to travel to additional sites and offices up to 10%, as needed for company expansion.
Benefits
- Medical, Dental, and Vision Insurance
- Life and AD&D Insurance (company-paid)
- Short-Term and Long-Term Disability Insurance (company-paid)
- 401(k) Retirement Plan with Company Match
- Employee Assistance Program (EAP)
