Description

About Us

Forward Recovery is an outpatient mental health and substance use disorder treatment center serving adults in Partial Hospitalization (PHP) and Intensive Outpatient (IOP) levels of care. Our telehealth program runs live virtual groups in the evening so clients can stay in treatment while working, parenting, or going to school.

We are looking for a dependable, detail-oriented Attendance Coordinator to keep our evening virtual groups on time and ensure every client is accounted for.

What the Role Entails

Before Groups Start

  • Review the evening group roster and confirm each client's assigned group and facilitator.
  • Make sure virtual group links work, and facilitators log in on time.
  • Send reminder messages to clients before group start times.

During Groups

  • Admit clients from the virtual waiting room and track log-in times.
  • Monitor who is present, late, has camera off, leaves early, or does not log in.
  • Reach out by phone or text to clients who have not logged in within the first few minutes of group.
  • Handle basic tech issues (audio, video, link access) so facilitators can stay focused on group.
  • Note any excused pull-outs (e.g., client pulled for an individual session) so attendance stays accurate.

After Groups

  • Enter accurate attendance in the EHR (Kipu) and the attendance tracker before end of shift.
  • Flag missed groups, repeated lateness, and attendance patterns to the client's assigned Case Manager.
  • Assign new clients to their evening group after intake is complete.
  • Send a brief end-of-shift attendance summary to the Operations Manager.

What This Role Does Not Do

This is an operational, non-clinical position. You handle attendance issues (missed groups, log-in problems). Send client concerns, clinical questions, or exception requests to the Case Manager or program leadership. You will not provide counseling or make clinical decisions.

What We're Looking For

Required

  • Reliable attendance and punctuality; this role keeps groups starting on time.
  • Comfortable with Zoom/Google Meet, spreadsheets, and learning an EHR.
  • Clear, friendly, and professional phone and text communication.
  • Strong attention to detail and follow-through.
  • Commitment to client confidentiality (HIPAA and 42 CFR Part 2).
  • High school diploma or equivalent.

Preferred

  • Experience in behavioral health, substance use treatment, or a healthcare front desk/admin setting.
  • Experience with Kipu or another EHR.
  • RAD-T or similar credentials.
  • Bilingual (English/Spanish) is a plus.

What Success Looks Like

  • Every evening group starts on time with facilitators and clients logged in.
  • Enter attendance the same day, every shift, with no gaps.
  • Sober Living and Program Director hear about missed groups the same night, not days later.
  • Clients feel welcomed and supported, not policed, when they are contacted.
