About Insource Automation

Insource Automation designs and implements workflow and automation solutions for professional services firms, primarily financial advice practices. We help businesses streamline client onboarding, reviews, compliance processes, internal operations, and reporting using a combination of CRM platforms, low-code automation, API integrations, and coded solutions.

We are a young and rapidly growing business. This role works directly with the Director and is closely involved in delivering client projects from design through to implementation. As the business scales, there is significant opportunity for growth, increased responsibility, and meaningful input into how systems are built, documented, and standardised.

We're tool-agnostic where it counts, if it has an API, we'll work with it but our work is system-building, not just integration plumbing. Most engagements involve architecting a client's CRM and workflow layer, then wiring the automation behind it.

Our work typically involves:

  • Understanding how clients onboard and service their customers

  • Recommending technology stacks to improve efficiency

  • Designing how CRMs, workflows, and systems should be structured and integrated

  • Building and implementing those systems and automations end-to-end

Due to a strong and growing pipeline of work, we're looking to add a technical builder to the team.

The Role

You'll build client CRM and workflow systems, primarily in Monday.com and Pipedrive with Microsoft Power Automate (Cloud not Desktop) as the automation backbone behind them. This is a hands-on build and implementation role, not a sales role.

Our client work starts with a solution outline that describes the end state rather than a click-by-click specification. How much of the gap you close on your own depends on where you sit on the experience range, we're hiring for capability and appetite, not just years.

Key Responsibilities

  • Design and build client CRM and workflow systems in Monday.com and Pipedrive, board and pipeline architecture, automations, dashboards, custom fields, and underlying data modelling

  • Build, test, and deploy automations using Microsoft Power Automate (cloud flows)

  • Design and implement API-based integrations using HTTP actions where native connectors don't exist

  • Work with structured data (JSON, webhooks, REST APIs)

  • Create and maintain custom connectors for platforms with APIs but no native Power Automate support

  • Integrate and automate workflows across platforms such as Monday.com, Pipedrive, HubSpot, the Microsoft stack (SharePoint, Outlook), Calendly, and JotForm plus other SaaS tools as projects require

  • Handle authentication flows (API keys, OAuth where required)

  • Debug failed flows, edge cases, and data inconsistencies

  • Produce clean documentation so client firms can run the systems we build

  • Contribute to reusable build patterns and standards across the business

What We're Looking For

Essential — at any level

  • Demonstrable hands-on experience building automations or workflow systems in a low-code platform, Power Automate, Make, Zapier, n8n, Workato, or similar

  • Comfortable working with APIs and HTTP requests, and reading and writing JSON payloads. This is a must, a lot of our clients use industry specific tools that require direct HTTP calls, not a pre-built connector.

  • Genuine problem-solving instinct and attention to detail, a lot our work is figuring out why something doesn't behave the way the documentation says it should or plumbing together multiple different systems to achieve a specific outcome not available out of the box in any.

  • Appetite to learn new platforms quickly; our stack shifts with what clients need

Strongly preferred

  • Power Automate experience specifically (cloud flows, expressions, connectors, error handling) - it's the tool we build in, so this is the single biggest advantage a candidate can bring

  • Monday.com build experience - boards, automations, dashboards, integrations

  • Experience structuring CRM or workflow data from scratch, rather than only configuring what already exists

Also valued

  • Pipedrive, HubSpot, or comparable SaaS CRM experience

  • Experience in financial services or professional services

  • Coding experience (JavaScript, Node.js, or similar)

  • Familiarity with AWS Lambda / Function URLs, Power Apps, or serverless concepts

Hiring Across Levels

We're deliberately open on experience. What we expect changes with the level:

  • Junior - you've built real automations somewhere, in some tool, and can show us. You'll work from tighter specs with regular review, and we'll invest in bringing you up on Power Automate and Monday. What matters most is aptitude and how fast you pick things up.

  • Mid - you can take a defined build and deliver it end to end, raising the questions that actually need answering rather than either guessing or asking about everything.

  • Senior - you can take a recommendations document describing an end state and make the build decisions yourself, then leave behind documentation the client can run without you.

Tell us in your application which of these you think you are. We'd rather calibrate honestly up front than discover the mismatch in week three.

  • Not a pure software development role

  • Not a data-entry or virtual assistant role

This is a hands-on delivery role focused on building real CRM and automation systems that go into production for clients.

The Hiring Process

Three stages. We aim to move quickly and will give you an outcome after each stage rather than leaving you waiting.

  1. Online interview (approximately 30 minutes, video) - an introduction to Insource and the work, a walk through your background, and a conversation about the kinds of systems you've built. Mostly about fit and calibrating the level.

  2. Technical interview (approximately 60 minutes, video or in person) - a working conversation about how you'd approach a real build and then putting this together. We'll talk through a scenario drawn from actual client work: how you'd structure the CRM, where the automation sits, and how you'd handle the parts that break. There's no whiteboard algorithm test and nothing to prepare, we're interested in how you think about a problem, not whether you've memorised connector names.

  3. Face-to-face interview (in person, Melbourne) - a final conversation with the Director covering the practical side: how we deliver, what the first few months look like, and your questions about the business. This is also where we'll discuss level and remuneration.
