While this position coordinates, audits, and tracks overall facility compliance, it does not manage or supervise personnel at this time. Aviation-specific training will be provided, and there is potential for future growth within the company.
RESPONSIBILITIES:
1. Safety Program Compliance
  • Enforce Safety Management System (SMS) compliance by auditing safety logs, tracking open hazards, and ensuring corrective actions are completed within regulatory timeframes.
  • Inspect facility safety equipment directly, maintaining full accountability for the scheduled upkeep and compliance of PPE, eyewash stations, and fire extinguishers.
  • Manage safety documentation for all internal and external safety audits, ensuring the repair station remains continuously prepared for regulatory inspections.
  • Lead safety committee administration, including coordinating meetings, tracking action items, and archiving critical compliance records.
2. Training Program Compliance
  • Manage the company training matrix, maintaining total accuracy of employee training records to guarantee 100% compliance with FAA and industry standards.
  • Enforce training deadlines across the facility, auditing individual files to ensure all maintenance technicians and staff complete required regulatory, safety, and technical courses.
  • Execute new hire onboarding, systematically training new personnel on company administrative policies, regulatory requirements, and safety protocols.
3. Maintenance Administration & Records Support
  • Execute data entry for maintenance logs, parts usage, technician labor, and work orders.
  • Maintain technical records in digital and physical filing systems in strict compliance with FAA regulations.
  • Audit documentation for missing fields, attachments, or signatures, promptly escalating deficiencies to Quality leadership.
  • Assemble work-order packages and track technician time to assist with facility billing preparation.
  • Organize fragmented data by auditing historical maintenance records and component tracking accounts to ensure data integrity.
4. Tooling, Equipment, & Facilities Tracking
  • Inventory shop assets, including all tooling, ground support equipment (GSE), and facility assets.
  • Track calibration dates and periodic maintenance schedules for specialized maintenance tools.
  • Coordinate with external vendors for equipment repair, certification, and calibration, ensuring all certificates are filed to prevent operational downtime.
5. Technical Data & Office Support
  • Manage software accounts and user access subscriptions for aviation maintenance software, technical publication services, and regulatory databases.
  • Track publication renewals and notify management well before subscription expiration dates.
  • Provide facility reception coverage for visiting vendors and official regulators.
  • Execute ad-hoc administrative requests and special operational compliance projects as assigned by leadership.
  • Responsibility & Authority
  • Accountability: This position is directly responsible for accurate administrative entries, organized records, tool compliance tracking, and enforcing safety/training program documentation requirements.
  • Strict Limits: This position does not supervise or manage staff. It does not contact aircraft owners/operators, coordinate aircraft flight scheduling, authorize maintenance deferrals, determine airworthiness, approve technical maintenance entries, or perform aircraft inspection/return-to-service functions.
QUALIFICATIONS:
  • Experience: 1–2 years of experience in administration, compliance auditing, scheduling, or operations preferred. Experience in aviation or another highly regulated industry is a plus.
  • Tech Savvy: Proficiency with Microsoft Office (Excel, Outlook) and electronic filing systems. Ability to learn aviation maintenance-management software (e.g., Corridor, Quantum, CAMP, Traxxall).
