Bilingual Medical Assistant / Surgery Scheduler – Gynecology

Position Overview

We are seeking a dependable, versatile, and team-oriented Bilingual Medical Assistant/Surgery Scheduler to support a Gynecology provider whose patient base is currently expanding throughout the DFW area.

This position is a great opportunity for someone who has a Medical Assistant background and is interested in developing their skills in both clinical and administrative areas of a medical practice. We are open to candidates who are newer to the field and are willing to learn.

The role will include full Gynecology Medical Assistant responsibilities, surgery scheduling, referrals, authorizations, medical records, charting, and front-office support. The Medical Assistant/Surgery Scheduler will also have to travel with the provider to other locations within the DFW area as needed.

Team Environment

The Gynecologist works in an office with several other providers. All providers and staff work together as a team, and employees are expected to assist with the needs of the entire office.

As the Gynecology provider continues to build their patient base, there may be times when their schedule is not yet full. During those times, the Medical Assistant/Surgery Scheduler will be expected to assist the other providers and staff in the office.

This position provides an opportunity to learn multiple areas of a medical practice and develop a well-rounded skill set.

Key Responsibilities

Gynecology Medical Assistant Duties

  • Prepare patients for examinations and procedures.

  • Obtain and document patient histories, medications, vital signs, and other pertinent information.

  • Assist the provider with examinations and in-office procedures.

  • Prepare and maintain exam rooms and clinical supplies.

  • Document patient information accurately in the electronic medical record.

  • Provide appropriate patient education and follow-up instructions.

  • Maintain patient confidentiality and follow HIPAA and practice policies.

Surgery Scheduling & Coordination

  • Schedule surgical procedures and other procedures ordered by the provider.

  • Assist with referrals, insurance authorizations, and pre-certifications.

  • Coordinate with surgical facilities, hospitals, physicians, and other healthcare providers.

  • Ensure necessary medical records, documentation, and orders are completed.

  • Communicate procedure information and preparation instructions to patients.

  • Follow up on scheduling and authorization requirements.

Medical Records & Administrative Responsibilities

  • Request, obtain, organize, and maintain patient medical records.

  • Assist with chart preparation and ensure records are complete.

  • Complete clinical documentation and charting.

  • Process referrals and assist with coordinating patient care.

  • Assist with insurance-related documentation and authorization processes.

  • Maintain accurate patient information.

Front Office & Team Support

  • Assist with patient check-in and front-office responsibilities.

  • Answer phones and assist with scheduling appointments.

  • Assist patients with questions and general needs.

  • Support other providers and their patients when the Gynecology provider's schedule allows.

  • Learn and assist with various functions throughout the office.

  • Work collaboratively with all providers and staff.

Travel Requirements

The position may require travel with the provider to other practice locations within the DFW area as needed.

The candidate should be comfortable traveling to different locations and adapting to different office settings.

What We Are Looking For

We are looking for someone who is:

  • A graduate of a Medical Assistant program or has relevant Medical Assistant training.

  • Open to learning and developing new skills.

  • Interested in both clinical and administrative aspects of healthcare.

  • Organized and detail-oriented.

  • Comfortable working as part of a team.

  • Willing to learn surgery scheduling, referrals, authorizations, and medical records.

  • Professional, dependable, and compassionate with patients.

  • Adaptable and willing to assist wherever needed.

  • Comfortable learning both front-office and back-office responsibilities.

  • Willing to travel with the provider to other locations when necessary.

  • Able to communicate effectively with patients, providers, and staff.

Important Expectations

This position is not limited exclusively to supporting the Gynecology provider. Because the Gynecologist is currently building a patient base in the DFW area, the schedule may initially have availability.

When the Gynecology provider does not have a full schedule, the Medical Assistant/Surgery Scheduler will assist the other providers and staff within the office.

The successful candidate should be willing to learn all aspects of the practice, including front-office check-in, referrals, insurance authorizations, surgical scheduling, medical records, charting, and Medical Assistant responsibilities.

We are looking for someone who is willing to learn, adaptable, dependable, and enjoys being part of a team. As the Gynecology provider's patient volume grows, the position will increasingly focus on supporting that provider and their expanding patient population.
