Billing Specialist - NetSuite
About the role:
Founded in 1995, Vastian is the leading provider of healthcare and laboratory quality, compliance and accreditation solutions, powering laboratories and hospitals to achieve better clarity and show their higher standards. Our single, configurable integrated platform delivers a standardized, centralized solution that automates quality and compliance tasks and is fully customizable. With Vastian, health systems and labs can get ahead of compliance and quality processes, saving time that can be spent on delivering better care. Vastian is a private equity-backed, fast-growing SaaS business based in Lawrenceville, GA, outside Atlanta.
We are seeking an experienced Billing Specialist to own the accuracy of our subscription billing in NetSuite. This is a detail-oriented role. The person in this seat is the one who notices that a subscription start date is off by a month, that a renewal came over from Salesforce incorrectly, or that an invoice does not match what a client signed. You will work closely with Finance leadership, and your work feeds directly into revenue recognition and the monthly close. If you like catching the thing everyone else scrolled past, you will like this role.
Key Responsibilities and Duties:
- Run the monthly billing cycle in NetSuite - generate invoices, review them before they go out, and resolve exceptions rather than passing them along.
- Verify that orders coming from Salesforce land correctly in NetSuite: terms, dates, quantities, pricing, uplifts, billing frequency, and renewal dates.
- Review subscription setup for accuracy, including start and end dates, proration, co-terminations, mid-term changes, and billing schedules.
- Confirm that revenue recognition is behaving as expected on new and amended subscriptions, and flag arrangements that do not look right before they reach close.
- Process amendments, upgrades, downgrades, and cancellations, and verify the downstream billing and revenue effects.
- Reconcile billing to the subscription base each month and investigate variances rather than plugging them.
- Own credit memos, rebills, and billing disputes end to end, including the root cause so the same issue does not recur.
- Maintain clean customer billing data: billing contacts and addresses, split billing arrangements, PO requirements, and tax exemption documentation.
- Support the monthly close with revenue analysis and respond to auditor revenue-related requests.
- Partner with Account Managers on billing questions and escalate quickly when something needs a decision.
- Speak up when a process is not working. We are a small team, and we expect people to raise problems and propose fixes rather than build workarounds.
- Document what you do as you go, so the process does not live in one person's head
Qualifications
- 2+ years in billing or billing operations at a SaaS or subscription business.
- Hands-on NetSuite experience in billing - subscriptions, billing schedules, invoices, credit memos.
- Exceptional attention to detail: you catch the wrong date, the missing line, the duplicate charge, and the record that did not come across cleanly - before someone downstream does.
- Comfort working with subscription contracts. You can read an order form and tell whether what is in the system matches what was signed.
- Working understanding of how billing feeds revenue recognition, and why a billing date and a recognition date are not the same thing.
- Strong Excel skills, including reconciling two populations and identifying the differences.
- Willingness to dig into the cause of a problem rather than correcting the symptom and moving on.
- Clear, professional written and verbal communication with customers and internal partners.
- Comfort in a small-company environment - shifting priorities, no large support organization behind you, and real ability to influence how things get done.
Preferred Qualifications You do not need every item below. If you are strong on accuracy and NetSuite billing fundamentals, we will teach the rest.
- NetSuiteBilling experience: subscription plans, billing templates, change orders.
- Familiarity with NetSuite Advanced Revenue Management - revenue arrangements, revenue elements, and how billing transactions flow into them.
- Salesforce experience, including exposure to a CRM-to-ERP integration or middleware.
- Experience through a billing system implementation, migration, or data cleanup.
- Multi-element contracts - subscription plus implementation, services, or support on a single order form.
- Sales tax experience, including Avalara and exemption certificate handling.
- Experience supporting an audit or a diligence request.
