Job Description:
financial services organization is launching a rated note fund serviced by a third-party fund administrator. Operational readiness is targeted for November 1, legal close is December 15, and go-live is January 1. The Business Transformation team within Strategy & Execution owns the process documentation supporting the launch.
This role provides business analysis support for the initiative. The analyst will work with operations owners across six workstreams to map new and changed process flows, draft procedures and playbooks, and maintain the deliverable register as decisions are made. The work is documentation-led rather than advisory, and the resulting documentation will serve as the operational record teams use to run the fund once it is live.
The role is highly collaborative. The analyst will work alongside colleagues in loan operations, fund operations, finance, data, and technology. Success requires the ability to draw detailed process knowledge from the people performing the work rather than developing documentation independently.
Key Responsibilities Process Mapping and Documentation- Work with workstream owners to map new and changed process flows end to end, including the division of activities between the organization and the third-party fund administrator.
- Capture control points, handoffs, exception paths, and system touchpoints within each process and identify areas where ownership is unclear.
- Draft operating procedures, desk procedures, and playbooks using established templates and coordinate reviews with process owners.
- Maintain consistency in structure, templates, and terminology across six workstreams, including cash management, fund administration, monthly and quarterly reporting, compliance and waterfall, rating agency activities, and loan servicing and reconciliation.
- Maintain version control to ensure the current state of each documentation artifact is clear and accessible to the team.
- Maintain the operational deliverable register, including status, ownership, and open items across workstreams.
- Capture requirements, decisions, and open questions from working sessions and translate them into clear written follow-ups that drive items toward resolution.
- Support the development of RACI matrices and service-level definitions in partnership with subject matter experts and workstream owners.
- Prepare materials for working group and program reviews in accordance with established reporting schedules.
- Prepare, support, facilitate, and document working sessions with operations, finance, data, and technology partners.
- Follow up on open items between sessions and proactively identify risks that could impact operational readiness timelines.
- Help document data requirements and lineage supporting compliance and waterfall testing, rating agency reporting, and periodic reporting.
Two standards apply to all work produced during the engagement:
- Each process flow and procedure must be developed and validated with the operations professional responsible for performing the process.
- The documentation set must be consistent in structure, templates, and terminology so that operations teams can maintain it after go-live without significant rework.
Documentation is not considered complete until it has been reviewed with the individual responsible for the process.
Qualifications Required- 5+ years of experience as a Business Analyst within asset management, insurance investment, banking, or consulting supporting these industries.
- Demonstrated process mapping experience, including swimlane and cross-functional process flows that were implemented for operational use.
- Proven experience developing operating procedures, desk procedures, or similar documentation used by operational teams.
- Strong requirements elicitation skills, with the ability to gather detailed information from busy operations subject matter experts.
- Proficiency with Visio, Lucidchart, or an equivalent process mapping tool, as well as Microsoft Word, Excel, and PowerPoint.
- Ability to manage multiple workstreams against a fixed deadline and work effectively with incomplete information.
- Strong collaboration and communication skills, with the ability to write clearly, ask effective questions, and raise issues constructively.
- Experience with investment operations, including loans, private credit, fund administration, or IBOR/ABOR environments.
- Experience documenting outsourced service relationships involving a fund administrator, custodian, transfer agent, or similar third-party provider.
- Experience supporting a fund launch, platform implementation, or other initiative with a firm external deadline.
- Experience using deliverable registers or program management tools such as Jira, Confluence, or Smartsheet.
- Familiarity with AI tools such as Claude, ChatGPT, or Gemini for drafting documentation and synthesizing complex information.
