Business Operations Executive
5-day work week, 9:00am – 6:00pm, with 1 day of WFH flexibility
Role Overview
We are a growing F&B group operating two noodle shops, with a new fried chicken brand set to launch.
We are looking for a Business Operations Executive to be the operational backbone of the business. Someone who understands, or is eager to learn, every aspect of how the business runs behind the scenes: finance-adjacent processes, supplier and contract management, government grant schemes, and cross-department coordination.
Prior experience in F&B is preferred, but what matters most is strong ownership, attention to detail, and a genuine willingness to learn.
Key Responsibilities
• Review and verify GST computations prepared by the Company’s appointed accountants, checking for consistency and flagging discrepancies before filing (final computation and filing remain the accountant’s responsibility).
• Compile and compare Statements of Account (SOAs) across outlets to manage COGS. (SOA verification against invoices remains the accountant’s responsibility).
• Gather, organise and compare quotations from contractors and equipment suppliers for outlet fit-outs, repairs, and equipment purchases.
• Familiarity with applications for relevant grants available for the F&B sector.
• Coordinate and maintain an overall to-do list/task tracker across departments.
• Support the management with day-to-day administrative, operational and ad-hoc business matters.
• Liaise with outlet managers, accountants, contractors, suppliers and government agencies as needed.
• Maintain organised records and documentation for contracts, quotations, grant applications, and supplier agreements.
• Travel to outlet locations as needed for on-site meetings, walk-throughs, or coordination with outlet teams.
What We're Looking For
• A strong sense of ownership and reliability, someone who follows through and keeps things on track.
• Strong data analysis
• Comfortable working with numbers (e.g. reviewing GST figures, comparing costs). Accounting qualifications are not required, but numerical comfort and attention to detail are important.
• Organised, able to manage multiple workstreams across different outlets and departments at once.
• Good communication skills to coordinate across outlet managers, contractors, suppliers and government agency contacts.
• Proficient in Microsoft Excel/Google Sheets at a working level.
• Prior experience in an office management, operations, admin, or finance-support role is an advantage.
