Purpose of the Job
The BPA is responsible for analyzing, documenting, and optimizing Coptic Orphans business processes to ensure their efficiency, effectiveness and alignment with the organization's strategic objectives by developing performance metrics, analyzing data and providing actionable insights that drive decision-making and performance improvement. The Business Process Analyst (BPA) discovers, documents and analyses Coptic Orphans' business processes so that they are efficient, effective and aligned with the organization's strategic objectives. The role owns the full analysis cycle for its assigned process portfolio: mapping the As-Is process, validating that map with the process owners, confirming pain points and their root causes, appraising improvement options, and preparing the resulting improvement plan for approval. All process models are produced and maintained in SAP Signavio using BPMN 2.0.
Essential Functions and Responsibilities
Process Analysis and Documentation Discovery and As-Is Mapping:
- Collaborate with cross-functional teams to understand business requirements while facilitate workshops to create detailed process documentation. Conduct structured process discovery with cross-functional teams - through stakeholder interviews, facilitated workshops, job shadowing, and document and system trace analysis - to establish how each process actually operates, not only how it is intended to operate.
- Document process flows using Business Process Model and Notation (BPMN 2.0) in SAP Signavio, applying the department's agreed modelling conventions, naming standards and level-of-detail rules.
- Collect and analyze process-related data to identify trends and insights by use statistical methods and data analysis tools to support decision-making. Collect and analyse process data - volumes, cycle and waiting times, handoffs, rework and exception rates - using appropriate statistical and analytical techniques, so that process behaviour is evidenced rather than asserted.
- Maintain repository hygiene in SAP Signavio: version control, model metadata and attributes, glossary and dictionary entries, and archiving of superseded models.
Stakeholder Validation and Sign-Off:
- Gate 1 - As-Is validation: present the documented As-Is model to process owners and process participants, resolve discrepancies, and obtain and record formal process-owner sign-off that the model reflects actual practice.
- Gate 2 - Pain point confirmation: identify inefficiencies, bottlenecks, control gaps, handoff failures and rework loops; determine root causes using structured techniques; and confirm the prioritised pain-point set with the affected process owners before any solution work begins.
- Gate 3 - Solution option agreement: develop and appraise feasible improvement options with process owners and, where relevant, Information Technology; agree the recommended option; and document the options considered and rejected, with reasons.
- Maintain a documented audit trail of each validation gate (attendees, date, decision, open points) in the Signavio repository or the department's engagement record.
- Escalate to the Process Manager where stakeholders do not converge, where scope or cost exceeds the agreed envelope, or where a cross-departmental decision is required.
Solution Design and Improvement Planning:
- Design the To-Be process and model it in SAP Signavio, showing the delta against the validated As-Is model.
- Prepare the improvement plan or project charter: objectives, scope, expected benefits, effort and cost estimate, risks, dependencies, implementation sequence and named implementation owner.
- Prepare the supporting business case and present the recommendation to the Process Manager and the relevant process owner(s) for approval.
- Hand the approved plan over to the implementing owner, provide process expertise during implementation, and confirm on completion that the To-Be model is published and the superseded As-Is model archived.
Performance Measurement & Improvement and Monitoring:
- Define key performance indicators (KPIs) for business processes in alignment with organization performance framework, and baseline current performance during As-Is analysis so that the effect of any change can later be measured.
- Identify, analyze existing business process inefficiencies, and identify areas for improvement using optimization strategies with stakeholders.
- Communicate process changes and improvements to stakeholders, including the reasons for the change, and support adoption of the new way of working.
- Monitor and measure the impact of process changes against the baseline captured during As-Is analysis, and report the result to the Process Manager.
- Analyze & Prioritize improvement project portfolio. Contribute analysis, effort estimates and benefit estimates to the prioritisation of the improvement project portfolio, which is owned by the Process Manager.
- Develop and maintain process performance dashboards and report process performance to the Process Manager on the agreed cycle.
- Perform any additional tasks as requested other duties commensurate with the role and level, as requested by the Process Manager.
Required Education, Experience, Knowledge, and Skills
- Bachelor's degree in Business Administration, Information Systems, Industrial Engineering, or a related field.
- 1–3 years of experience in business process analysis, process performance analysis, or a related field.
- Proven experience with working knowledge of Business Process Management (BPM) methodologies and of the process lifecycle (discovery, modelling, analysis, improvement, monitoring).
- Proven track record of successful Demonstrated participation in process improvement and performance measurement initiatives.
- Practical ability to model in BPMN 2.0. Hands-on experience with SAP Signavio is required; experience with another enterprise BPM suite (ARIS, Bizagi, Camunda) may be accepted where the candidate can demonstrate BPMN modelling competence.
- Strong interviewing, facilitation and active-listening skills, with the ability to elicit information from staff at all levels, including where a process is undocumented, contested or performed differently from the written policy.
- Ability to write clearly and concisely in a business register - process documentation, option appraisals and improvement plans intended for decision-makers.
- Ability to analyze complex processes and data sets with strong problem-solving skills and attention to detail.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint), as well as Outlook, Teams, SharePoint, and Visio, and Power BI or an equivalent data visualisation tool for process performance dashboards.
- Excellent communication and interpersonal skills.
- Strong organizational and time management skills.
- Ability to manage multiple projects simultaneously. concurrent process engagements, each at a different stage of the analysis cycle, and to keep stakeholders informed of status.
- Proficient in both written and spoken English.
- Proven experience with Lean and Six Sigma techniques (Green Belt or higher) is a plus.
- Certification in Business Process Management is a plus (for example OMG OCEB 2 or ABPMP CBPP), or SAP Signavio certification.
- Experience in data analysis or performance management is an advantage.
- Familiarity with process automation tools is an advantage (robotic process automation, workflow automation, SAP Signavio Process Automation).
Travel and Working Requirements
- Certification in Business Process Management is a plus (for example OMG OCEB 2 or ABPMP CBPP), or SAP Signavio certification.
- Experience in data analysis or performance management is an advantage.
- Familiarity with process automation tools is an advantage (robotic process automation, workflow automation, SAP Signavio Process Automation).
