The Boys & Girls Clubs of Weld County (BGCWC) has provided sustained growth and impacted the lives of Weld County area youth since 1964. Thousands of youths have come through the doors of BGCWC and it currently serves over 1,000 youth annually throughout club sites located in Milliken, Galeton, and Fort Morgan in addition to three clubs in Greeley including a new Teen Center that opened in summer 2024. Our nationally recognized programming includes academic support and tutoring, computer training, healthy lifestyles, arts and culture, as well as opportunities for community service and leadership development. BGCWC’s vision is to help our youth develop healthy physical and emotional habits, succeed in their chosen educational and career pathways, achieve self-efficacy and confidence, and become leaders in their communities. BGCWC programming is designed to encourage club members and develop the “whole child.” The Boys & Girls Club Movement is focused on helping children and teens achieve priority outcomes in the areas of Academic Success, Character Development and Citizenship, Healthy Lifestyles, and Life and Workforce Readiness.


Position Overview

The Business Services Manager is a key member of the BGCWC administrative team, responsible for providing business, financial, and data support necessary to maintain the organization’s day-to-day operations. It serves an integral role in financial tracking and coordination, gift processing, tracking of grant funding, club member and donor database management, and executive administrative support. This position is well suited to a highly organized, analytical, and collaborative support professional who enjoys working across functions and departments, improving processes, and serving as a trusted resource to colleagues throughout the organization.


Key Responsibilities


Financial Administration & Coordination

  • Supports the organization's financial administration and coordination in partnership with the external accounting firm and organizational leadership.
  • Liaise with organization’s external accounting firm in the accurate accounting, tracking, coding of all revenue and expense transactions including all revenue collection, bill payments, and vendor invoice processing.
  • Assist the accounting firm in monitoring outstanding AP and AR, following up as needed to support timely collection and payment schedules.
  • Support with the reconciliation and accurate accounting, tracking, and coding of all credit card expenses.
  • Accurately maintain donor records and process/record and track all donor gifts, as well as grant-related income in CRM database (Salesforce).
  • Generate donor acknowledgments, tax receipts, and Colorado Child Care Contribution Tax Credit documentation accordingly and in a timely fashion for donors and supporters following events and/or campaigns.


Database Support & Reporting

  • Support the maintenance of CRM database (Salesforce), membership database (MyClubHub), and related databases, to ensure accurate recordkeeping --including but not limited to: updating contact information, address changes, etc., as well as managing duplicate records.
  • Conduct regular data audits and quality checks to support data integrity and reporting accuracy.
  • Produce recurring fundraising, membership, attendance, and financial reports as necessary in support of executive leadership, departments, committees, and/or the Board of Directors.


Administrative & Executive Support

  • Maintain an organizational master calendar of key events, deadlines, and due dates, and support with executive calendar scheduling.
  • Support with Board of Directors meeting scheduling, materials preparation, attendance tracking, and authoring of meeting minutes.
  • Support fundraising campaigns and donor stewardship activities as requested/needed.
  • Assist with updating/developing organizational policies, procedures, and other potential administrative workflow improvements.
  • Help maintain an organized, professional administrative office environment.


Cross-Functional Collaboration

  • Serve as liaison between executive leadership, development, operations, finance, and external partners.
  • Coordinate the flow of information across departments to support organizational effectiveness and timely decision-making.
  • Support cross-departmental projects and initiatives by tracking deadlines, deliverables, and organizational priorities.


Qualifications

  • Associate's or Bachelor's degree in Business, Nonprofit Management, Finance, Accounting, Data Management, or a related field preferred; equivalent combination of education and relevant professional experience will be considered.
  • 3+ years of progressively responsible experience in nonprofit administration, business operations, finance, development operations, database administration, or a related field. Experience across multiple functional areas is highly valued.
  • Experience with CRM, donor, membership, or other database systems; Salesforce experience preferred.
  • Ability to manage multiple priorities in a collaborative environment.
  • Strong organizational, analytical, communication, and problem-solving skills, with the ability to manage multiple priorities and meet deadlines.
  • Demonstrated ability to work collaboratively across departments, coordinate information and processes, and follow projects through to completion.
  • High level of discretion and sound judgment when working with confidential financial, donor, personnel, and organizational information.


Compensation & Benefits

Annual Salary Range: $48,000 - $60,000
