Business Support Administrator
Reporting to the Business Support Manager this role is critical in ensuring a great team working environment and the efficient delivery of support services, locally and across Australia.
Joining the Western Australia (WA) team of administration professionals, you will cover tasks in your region and via an online Business Support Centre. Creating networks within your region and proactively seeking opportunities for future support will be an important focus of this position.
- Monitor, self-assign & complete administration tasks via the Business Support Centre.
- Travel management (including flights, hotels, cars etc.) in accordance with company Travel Guidelines and ensuring appropriate approval is obtained.
- Word processing of project reports and presentations ensuring consistency, quality and version control using WSP required templates/styles.
- Data entry including soil/rock logs in gINT
- Tender preparation assistance, gathering insurances, certificates, CV preparation and client reports.
- Timesheet and expense assistance.
- Provide support and assistance to assigned team leaders and teams
- Arrange, participate in and contribute to group meetings. Taking minutes and following up actions when required.
- Assisting visitors (from Australia) into the office including local meeting room bookings, liaising with the workplace team for in-house catering, sourcing, and booking restaurants/venues for team gatherings.
- Assist with leave cover for other Business Support Administrators.
- Other administrative duties as required.
- Typically 3+ years of administrative relevant experience
- Skilled in managing client expectations and achieving positive outcomes in challenging environments
- Excellent communication and interpersonal skills
- Ability to multi-task, prioritise and meet deadlines
- Self-sufficient, highly organised, with excellent time management skills
- Recognises the highly dynamic nature of our business and is flexible in changing circumstances
- Intermediate to Advanced skill level across Microsoft Office suite (Word, PowerPoint, Excel and Outlook). ⎯ Familiar with Office 365 (including SharePoint and OneDrive for Business)
