Call Center Specialist

The Call Center Specialist is responsible for managing incoming telephone calls, scheduling patient appointments, routing calls appropriately, verifying patient information, and providing outstanding customer service. This position serves as a communication hub between patients, providers, and clinical staff while promoting efficient access to healthcare services.

Key Responsibilities:

  • Answer incoming calls promptly, professionally, and courteously.
  • Schedule, reschedule, and cancel patient appointments across multiple clinic locations.
  • Verify patient demographic, insurance, and contact information.
  • Route calls to the appropriate providers, departments, or staff members.
  • Accurately document telephone encounters and patient communications within the Electronic Medical Record (EMR) system.
  • Provide patients with information regarding clinic locations, office hours, available services, and appointment preparation instructions.
  • Respond to patient inquiries while maintaining exceptional customer service.
  • Assist with appointment reminders and follow-up communications.
  • Monitor voicemail messages and ensure timely responses.
  • Coordinate communication between providers, nursing staff, and patients.
  • Maintain confidentiality in accordance with HIPAA regulations.
  • Meet departmental productivity, quality, and customer service expectations.
  • Participate in departmental meetings, training programs, and quality improvement initiatives.
  • Perform other duties as assigned.

Requirements

Qualifications:

  • High school diploma or equivalent required.
  • Associate degree in Business, Healthcare Administration, or a related field preferred.

Experience:

  • One (1) to three (3) years of customer service, medical office, medical call center, scheduling, or healthcare experience preferred.
  • Previous experience using Electronic Medical Records (EMR) systems preferred.
  • Experience working with multi-line telephone systems preferred.
