About the Role
Our client, a private Family Office in Dubai is seeking an experienced and highly trusted Chief of Staff – Family Office to take overall responsibility for the smooth, organised and discreet management of the Principal's personal and family affairs.
This is a senior private-office position, not a conventional Personal Assistant or Executive Assistant role. The successful candidate will have genuine previous experience supporting a UHNW Principal or Family Office, with a strong understanding of managing household operations, family administration, staff, travel, personal finances, properties and highly confidential matters.
The Chief of Staff will be responsible for creating structure, systems and accountability across the Principal's private affairs, ensuring that day-to-day requirements are anticipated and handled proactively with minimal need for supervision.
Key Responsibilities
Private Office & Principal Support
- Act as the central point of coordination for the Principal's personal and family requirements.
- Manage the Principal's personal diary, appointments, commitments and day-to-day arrangements.
- Anticipate requirements and proactively resolve issues before they become problems.
- Maintain a high level of confidentiality, discretion and professionalism at all times.
- Establish clear systems, processes and documentation across the private office.
Household & Staff Management
- Oversee household operations and coordinate maids, drivers and other household staff.
- Establish clear responsibilities, schedules, standards and accountability for household staff.
- Coordinate staff requirements, documentation, leave, schedules and day-to-day issues.
- Ensure the household operates smoothly and efficiently.
- Manage and supervise the Maintenance / Facilities Coordinator, who will oversee maintenance across the Principal's home, warehouses, stores and other properties/locations.
Family & Children's Administration
- Coordinate family-related administrative requirements and schedules.
- Manage arrangements relating to the Principal's children, including appointments, activities, travel and other requirements.
- Coordinate with schools, service providers, assistants and other relevant parties as required.
- Maintain appropriate records and documentation relating to family affairs.
Travel & Logistics
- Organise personal and family travel from beginning to end.
- Coordinate flights, accommodation, transfers, itineraries, visas, travel documentation and other arrangements.
- Manage changes, last-minute requirements and travel-related issues proactively.
- Ensure all travel arrangements are documented, organised and communicated clearly.
Financial & Household Administration
- Maintain household budgets, expenditure records and payment schedules.
- Coordinate personal and household payments and maintain accurate records.
- Monitor expenses and ensure appropriate documentation and approvals are maintained.
- Coordinate with the independent accountant/bookkeeper on monthly reconciliations.
- Maintain organised records of household and personal financial administration without compromising confidentiality.
Personal Administration & Lifestyle
- Manage personal documents and household staff documentation.
- Coordinate gifting, personal purchases and special occasions.
- Assist with wardrobe organisation, packing and travel preparation where required.
- Coordinate social commitments, invitations and personal appointments.
- Manage relationships with relevant personal service providers and suppliers.
Systems, Processes & Accountability
- Establish professional systems for the management of the Principal's private affairs.
- Create trackers, schedules, records, checklists and SOPs where appropriate.
- Ensure important deadlines, renewals, payments, appointments and requirements are proactively monitored.
- Establish clear accountability across household staff and external service providers.
- Identify inefficiencies and implement practical improvements.
- Maintain clear separation and appropriate boundaries between the Principal's private affairs and business operations.
Ideal Candidate
- Strong previous experience within a Family Office, Private Office or directly supporting a UHNW Principal is essential.
- Proven experience managing the broader personal and household affairs of a Principal, rather than purely diary and administrative support.
- Experience overseeing household staff such as maids, drivers and other domestic personnel.
- Experience coordinating personal/family travel, properties, household expenses and private administration.
- Comfortable handling sensitive financial and personal information with absolute discretion.
- Strong organisational and financial administration skills.
- Experience managing or coordinating external accountants, bookkeepers, suppliers and service providers.
- Strong people-management and coordination skills.
- Highly proactive with the ability to anticipate requirements and act without being asked.
- Calm, resourceful and able to handle unexpected or high-pressure situations.
- Excellent attention to detail and strong follow-through.
- Mature, discreet and trustworthy with high personal integrity.
- Confident working directly with a Principal and managing sensitive matters independently.
- Strong communication and relationship-management skills.
- Comfortable using technology, spreadsheets, digital calendars, documentation systems and other productivity tools.
- UAE experience and an understanding of the expectations of a private Family Office environment are highly desirable.
Availability & Working Environment
This is a high-availability private-office role and is not structured as a conventional 9–5 position.
The successful candidate must understand the nature of supporting a UHNW Principal and be comfortable being responsive and available when required outside standard working hours and during periods of travel.
The position will have one scheduled day off per week, with the employment arrangement structured in accordance with applicable UAE employment requirements.
