Chief of Staff, Softball
Job Summary
Responsible for overseeing the operational, administrative, and strategic functions of the Division I softball program. This position provides leadership and coordination of program operations, budget administration, recruiting logistics, team travel, camps, and game-day activities while supporting the Head Coach and Sport Administrator in achieving program objectives. The Chief of Staff ensures alignment with institutional goals and maintains compliance with University, SEC, and NCAA rules and regulations. The position also supervises non-coaching personnel and supports player development initiatives through practice planning and operational coordination.
Essential Functions
• Oversees day-to-day softball operations and administrative activities.
• Assists with development and administration of the softball operating budget.
• Monitors expenditures related to travel, recruiting, camps, equipment, and other operating expenses.
• Supports calendar management, team communications, and Teamworks administration.
• Collaborates with the Head Coach and Sport Administrator in strategic planning and operational decision-making.
• Assists with scholarship administration and monitoring activities.
• Ensures operational effectiveness and efficient use of program resources.
• Directs planning and execution of recruiting operations and on-campus visits.
• Coordinates prospect itineraries, travel arrangements, reimbursements, and campus visits.
• Oversees team travel logistics including transportation, lodging, meals, equipment transportation, and itinerary execution.
• Serves as a liaison to visiting teams, housing, parking services, student-athlete support units, and other stakeholders.
• Coordinates operations with facilities, marketing, communications, and game-day personnel.
• Assists with camp operations, alumni engagement, and booster programing.
• Ensures compliance with NCAA, SEC, and institutional recruiting and travel regulations.
• Supervises graduate assistants, managers, student workers, equipment personnel, and other non-coaching staff.
• Assigns work, monitors performance, and provides operational direction.
• Conducts performance evaluations and supports employee development.
• Participates in hiring, onboarding, and offboarding activities.
• Communicates departmental expectations, policies, and procedures.
• Assists coaches with practice planning and organization.
• Supports daily practice activities including drills, batting practice, charting, and skill development activities.
• Assists with video review preparation and scouting materials.
• Utilizes technology and performance data to support coaching and team preparation.
• Supports recruiting and permissible coaching activities as allowed by NCAA regulations.
• Performs other duties as assigned.
Education Requirement
Bachelor's degree in Sports Administration, Business Administration, Communications, Higher Education, Sports Management, or related field.
Experience Requirement
5 years of progressively responsible experience in collegiate athletics operations, team administration, athletic recruiting operations, event management, or related field.
Experience supporting Division I athletics programs preferred.
Previous supervisory or team lead experience preferred.
An equivalent combination of education and experience may be considered.
All experience must be paid and in the same related field.
Part-time and PRN experience will be prorated based on hours worked per week.
Volunteer work and internships for academic credit are not counted.
Certifications & Licensures
Valid driver's license required. Must maintain eligibility to travel on behalf of the university.
NCAA Recruiting Certification required, if applicable.
Must maintain compliance training required by the University, SEC, and NCAA.

Physical Demands
This position requires regular standing and walking throughout athletic facilities, practices, games, events, and recruiting activities; intermittent sitting at a computer workstation; repetitive motion associated with computer use and communication activities; and occasional lifting, carrying, pushing, or pulling of equipment, supplies, and materials weighing up to 50 pounds. Frequent travel, evening, weekend, and holiday work is required in support of team operations, recruiting, competitions, and special events.
