Clerical Admin - Mountain States Toyota

Summary

The Clerical Administrator provides administrative and accounting support to the dealership, with a primary focus on accurate and timely product submissions, product cancellations, and General Ledger (GL) reconciliations. This position works closely with dealership and accounting personnel to ensure transactions are properly documented, processed, and recorded. The role also supports general filing, recordkeeping, data entry, and other clerical functions as needed to maintain an organized and efficient dealership office.

Responsibilities:

  • Process and maintain product submissions and cancellations, ensuring all documentation is accurate, complete, and timely.
  • Perform GL reconciliations, research discrepancies, and assist with resolving accounting variances.
  • Review, organize, and maintain electronic and physical records, including filing and document management.
  • Complete accurate data entry and administrative processing using dealership and accounting systems.
  • Provide general clerical and administrative support to the dealership and accounting teams, including reporting, scanning, document preparation, and follow-up as needed.
  • 1–2 years of administrative, clerical, accounting, or dealership office experience preferred.
  • Strong attention to detail with the ability to identify discrepancies and maintain accurate records.
  • Comfortable working with numbers, financial information, and General Ledger reconciliations.
  • Proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks and meet deadlines.
  • Ability to work independently while also collaborating effectively with dealership and accounting teams.
  • Excellent communication, follow-up, and problem-solving skills.

Additional Requirements:

  • Valid driver’s license with an acceptable driving record.
  • Must be legally authorized to work in the United States.
  • Ability to successfully complete pre-employment requirements, including background check, motor vehicle record (MVR) review, and drug screening.

Compensation:

  • $23.00 per hour

Schedule:

  • Full Time
  • Monday through Friday availability
