About the Opportunity
The Government of Nova Scotia is seeking a detail-oriented Filing Clerk to support the MEP File Room Digitization Project. This initiative focuses on modernizing records management by transitioning paper-based client files into a digital case management system.
Requirements
Key Responsibilities
- Retrieve and organize digitized client files returned from off-site storage.
- Review physical files and remove duplicate or unnecessary documentation following digitization guidelines.
- Prepare confidential documents for secure shredding and disposal.
- Reorganize and accurately file records into designated filing cabinets.
- Maintain organized filing systems to ensure easy retrieval of records.
- Perform general administrative and clerical duties as assigned.
- Prepare, file, and maintain correspondence and documentation.
- Assist with office supply inventory and general office organization.
- Distribute incoming and outgoing inter-office mail.
- Respond professionally to telephone and in-person inquiries.
- Ensure confidentiality and proper handling of sensitive government records.
- Follow established government policies, procedures, and records management practices.
Qualifications
Required
- Grade 11 education or equivalent.
- Minimum 2 years of related clerical, filing, or administrative experience, or an equivalent combination of education and experience.
- Experience working with filing systems and document management.
- Strong attention to detail and organizational skills.
- Ability to manage confidential information with discretion.
- Excellent time management and ability to prioritize multiple tasks.
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision.
- Proficiency in Microsoft Office applications, including Word, Outlook, and Excel.
Preferred Qualifications
- Experience working in a government or public sector environment.
- Knowledge of records management or document digitization projects.
