Client Onboarding Specialist
About The Role
As a Client Onboarding Specialist in our Sales department, you will be the primary point of contact for new and existing clients as they transition into our services. In this hourly, full-time role, you will guide clients through every step of the onboarding process, ensuring they understand our products, services, and procedures while delivering a professional and positive experience. You will leverage your Microsoft Office and CRM skills to keep records accurate, manage follow-ups, and support strong client retention. This position requires clear English communication, attention to detail, and a proactive approach to resolving questions and concerns.
What You'll Do
- Guide new and existing clients through all stages of the onboarding process, ensuring a smooth and timely experience.
- Serve as a primary point of contact to answer client questions, address concerns, and provide product or service information.
- Set up client accounts and profiles accurately in the CRM system and other internal tools.
- Coordinate with Sales, Operations, and Support teams to ensure all client requirements are captured and fulfilled.
- Create, update, and send onboarding documents, training materials, and process guides using Microsoft Office tools.
- Monitor client onboarding progress and follow up proactively to remove roadblocks and maintain momentum.
- Maintain detailed and up-to-date client records, interactions, and notes in the CRM to support ongoing client retention.
- Identify opportunities to improve the onboarding experience and share feedback with internal stakeholders.
- Support client retention efforts by building strong relationships and ensuring clients feel supported beyond initial setup.
- Escalate complex issues to the appropriate internal teams while keeping clients informed of status and resolutions.
Qualifications
- 2+ years of experience in client onboarding, account coordination, customer success, sales support, or a related client-facing role.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) for documentation, reporting, and communication.
- Experience working with CRM systems (e.g., Salesforce, HubSpot, or similar) for tracking client data and interactions.
- Strong verbal and written communication skills in English, with the ability to explain processes clearly and professionally.
- Proven ability to manage multiple client accounts and tasks simultaneously with strong organizational skills.
- Customer-centric mindset with a focus on building trust, client satisfaction, and long-term retention.
- High attention to detail and accuracy when entering data, preparing documentation, and following procedures.
- Ability to work collaboratively with cross-functional teams in a fast-paced, sales-driven environment.
- Problem-solving skills and the ability to handle client questions or issues calmly and efficiently.
- Willingness to work full-time in an hourly role and adapt to evolving processes, tools, and client needs.
