About Ashfords
Ashfords is Melbourne’s South East’s largest independently owned multidisciplinary firm. Across seven specialist business units, we offer the depth and opportunity of a larger firm with the agility, flexibility and close-knit culture of an independent business.

We’re ambitious about what comes next—for our clients, our firm and our people. Here, you’ll have the support to grow, the freedom to lead and the opportunity to make a visible impact.

About the Role

We are seeking an experienced and highly organised Client Services Manager to lead our Client Services Administration team within our Wealth division.

Reporting to the Wealth Manager, you will coordinate workflow, advice implementation and client service activities, working closely with our advisers, including the Partner, to deliver exceptional client outcomes. You will drive operational efficiency, lead process improvement initiatives and develop a high-performing team that supports the ongoing growth of the practice.

If you're passionate about people, process improvement and operational excellence, we'd love to hear from you.

Responsibilities

  • Lead and support a team of Client Service Administrators, providing coaching, guidance and operational oversight, including a small offshore team.
  • Coordinate team workflow, manage priorities and ensure service standards are consistently achieved.
  • Act as the primary escalation point for operational and client service queries across the Wealth division.
  • Work closely with the Partner and advisers to support client relationships, manage key client deliverables and ensure an exceptional client experience.
  • Conduct file reviews and monitor client records to ensure advice processes, documentation and compliance requirements are consistently maintained.
  • Maintain the integrity of client data, workflows and records within XPlan and associated systems.
  • Identify, lead and implement process improvement initiatives that enhance efficiency, scalability and client outcomes.
  • Ensure all activities are completed in line with compliance, licensing and regulatory requirements.

Requirements

  • Previous experience within financial planning or wealth management as a Client Service Administrator or Manager.
  • A strong understanding of the end-to-end financial advice process, including onboarding, advice preparation, implementation and ongoing service.
Proven experience leading, mentoring and developing client service teams.
  • Experience using XPlan.
  • Demonstrated ability to manage competing priorities
  • Excellent organisational, communication and stakeholder management skills.
  • High attention to detail with a strong focus on quality, compliance and risk management.

Benefits

At Ashfords, you'll enjoy the career opportunities, support and resources of a larger firm, with the influence, visibility and agility of a growing independent business. Our purpose is simple: helping our clients, our people and our firm achieve financial freedom and peace of mind.

What you'll enjoy:
  • Flexible work arrangements that support life outside of work
  • Competitive salary plus performance-based incentives
  • Ongoing investment in your professional and leadership development
  • A collaborative, inclusive and high-performing culture
  • Regular social events, team experiences and wellbeing initiatives
