The University of Miami, Bascom Palmer Eye Institute, has a full time opportunity for a Clinical Business Operations Representative for the Sleep Center in Miami, Florida.The Clinical Business Operations Representative facilitates the prompt resolution of problems related to pre- and post-care that arise in daily clinical operations. The incumbent performs general administrative and receptionist functions, including answering incoming calls, efficient management of patients, and acquisition of necessary patient care and records. Within the Sleep Center, this position supports patient-facing clinical operations related to sleep studies, home sleep apnea testing, durable medical equipment (DME), prescriptions, scheduling, and coordination of patient care. The Clinical Business Operations Representative assists patients in a courteous, efficient, and professional manner and ensures adherence to divisional and departmental service standards.

CORE JOB FUNCTIONS

  • Assists the department in managing expectations surrounding pre- and post-patient care.

  • Obtains or reviews all patient demographic information, insurance information, referral information, and other information required for patient care.

  • Reviews clinical records for completeness, including authorization, signatures, missing data, orders, prescriptions, and other patient information.

  • Answers multiple telephones for the department; triages incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.

  • Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs.

  • Provides coverage for responsibilities of co-workers when assigned or as needed.

  • Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.

  • Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, staff, and patients.

  • Maintains confidentiality of all information.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions

  • Schedules, reschedules, and cancels sleep center appointments and other Sleep Center services in accordance with departmental scheduling procedures.

  • Communicate with patients regarding sleep study preparation, appointment requirements, arrival instructions, and other non-clinical pre-study information.

  • Coordinates home sleep apnea testing (HSAT) appointments, including patient scheduling, device pickup/return coordination, and providing patients with standardized departmental educational materials and resources.

  • Assists with prescription and durable medical equipment (DME) matters by receiving patient requests, reviewing available documentation, routing requests to the appropriate clinical staff or provider, and communicating status updates to patients. Coordinates with physicians, technologists, clinical staff, insurance/authorization teams, DME providers, and other departments to resolve patient scheduling and care-coordination issues.

  • Documents patient communications, scheduling activity, messages, and follow-up actions accurately in the appropriate electronic systems.

  • Monitors outstanding patient-related items and follows up as needed to support timely completion of scheduling, orders, authorizations, prescriptions, and DME requests.
