Position Summary
The Clinical Program Manager (CPM) leads the coordination and execution of the clinical onboarding and Annual Wellness Program (AWP) launch process for new and replacement physician offices. This role serves as the central point of accountability for opening-physician readiness, training coordination, AWP performance tracking, and front-line support to physicians, offices, and internal teams. The CPM works cross-functionally with Practice Succession Managers (PSM), Practice Opening Managers (POM), Success Managers (SM), the Clinical Training Specialists (CTS), and vendor partners to ensure new offices are set up on schedule, are fully trained, and reach AWP performance targets.
Key Responsibilities
Physician Opening & Onboarding Coordination
- Maintain and update the master list of opening physicians by month, adding new doctors as they are confirmed.
- Track open-date changes and mea culpas, and communicate updates to all relevant stakeholders.
- Ensure every opening physician has a confirmed trainer assignment.
- Coordinate with the Practice Succession Manager (PSM) on training needs for replacement offices.
- Track and confirm training dates at least two months in advance of each opening.
- Monitor and flag training date changes occurring within 30 days of an opening.
- Coordinate and track reschedules to ensure no training session is missed.
- Track POM/SM schedule and confirm the Opening Day Readiness (ODR) is scheduled and AWP Room Setup Checklist is submitted more than one week prior to the CTS onsite visit.
- Collect and review AWP room setup checklists and photos submitted by offices.
- Distribute room setup information to the CTS team ahead of onsite visits.
- Follow up to ensure any missing setup items are completed by the POM/SM.
AWP Training & Lab Coordination
- Deliver AWP equipment training during corporate visits.
- Submit lab orders and provide requisitions during corporate visits.
- Track completion of doctors' personal lab draws.
- Track completion of lab consultations with Cleveland HeartLab.
- Track and distribute webinar registration and attendance logs to relevant participants.
- Track weekly delivery of Quest reports and review the data for accuracy and follow-up items.
Performance & Compliance Tracking
- Track lab training attendance across opening offices.
- Track Part 1 training attendance.
- Track time-to-start for AWPs, measured from open date to the first lab panel order.
- Track that the correct AWP panel was ordered by each physician.
- Track that AWPs are logged by practices in Connect.
- Track AWP completion rate (percentage of AWPs logged versus membership count at opening).
Support & Enablement
- Triage and address incoming questions from employees, offices, and vendors.
- Provide remote equipment training and support as needed, including for new hires, software re-installation on new or replacement computers, and CTS support.
- Update and create training guides to keep documentation current and accurate.
