Co-Business Office Manager
We are seeking an organized, service-minded Business Office Manager to lead the day-to-day business office function at [Mulberry Creek Nursing & Rehab Center]. This is a hands-on role for someone who understands that strong financial operations require accurate work, consistent follow-through, and respectful communication with residents and families. The Business Office Manager works closely with the Facility Administrator, Corporate Revenue Cycle, Admissions, Nursing, MDS, Therapy, Social Services, residents, families, payer representatives, and government agencies. The role supports accurate resident accounts, timely reimbursement, organized collections, Medicaid and payer processes, resident trust, deposits, reconciliations, and month-end responsibilities.
Schedule: Full-Time, Weekdays, 8 Hour Shifts
Key Responsibilities:
- Organize daily priorities and ensure timely completion of assigned business office, billing, collections, census, Medicaid, trust, deposit, and reporting activities.
- Maintain accurate, complete, and confidential resident financial information.
- Participate in facility meetings related to census, collections, payer requirements, authorizations, resident accounts, quality, care planning, discharge planning, and clinical-financial coordination.
- Coordinate effectively with facility departments, Corporate Revenue Cycle, residents, families, payer representatives, and government agencies.
- Verify insurance coverage, benefits, payer responsibility, authorizations, and required financial documentation for admissions and existing residents.
- Obtain required agreements, notices, payer documents, and supporting records.
- Set up and maintain resident accounts with accurate payer sequence, financial class, rates, billing parameters, level of care, and other required information.
- Maintain accurate daily census information, including admissions, discharges, transfers, bed holds, payer changes, leave of absence, room changes, and skilled or non-skilled status.
- Verify skilled coverage, authorizations, documentation, and facility-related outcomes and coordinate complete information with Corporate Revenue Cycle.
- Support accurate and timely facility-level billing for assigned payer sources, including Medicaid, managed care, commercial insurance, long-term-care insurance, private pay, and other facility-level accounts.
- Review assigned billing and accounts receivable reports, aging, unpaid balances, claim issues, denials, rejections, remittances, and payment discrepancies.
- Coordinate corrections, resubmissions, appeals, payment follow-up, and escalation for assigned facility-level accounts; route skilled-claim issues to Corporate Revenue Cycle.
- Prepare statements, communicate with responsible parties, document collection activity, and establish approved payment arrangements when applicable.
- Prepare write-off and refund requests in accordance with applicable processes.
- Coordinate with Corporate Revenue Cycle on skilled-claim documentation, authorization, coverage, and facility-related issues.
