The successful candidate will work closely with consultants, Finance, and our Commercial Support Team. The role will be responsible for maintaining accurate project and commercial information across Salesforce and other business systems, coordinating client and subcontractor administration, supporting contract and purchase order management, monitoring expenses and billing requirements, and providing travel and logistical support. The ideal candidate will be comfortable managing multiple priorities, working across different systems and following up with stakeholders to ensure actions are completed. They will have strong attention to detail, good judgement and a practical approach to solving administrative and operational issues.

Maintain project folders and key documentation, including contracts, SOWs and purchase orders
Support client portal registrations and ongoing administrative requirements
Salesforce & Billing Administration
Create and maintain Salesforce accounts, opportunities and project records, including complex multi-country or multi-tasking projects
Monitor pipeline and project data, identifying and following up on outdated, incomplete or inaccurate information
Track contracts, POs and billing requirements, flagging upcoming issues and supporting timely invoicing
Support expense administration, including Concur queries, outstanding submissions and key account expense collation
Coordinate subcontractor administration, onboarding and invoice processing
Follow up on missing timesheets, expenses, invoices and supporting documentation and route issues to the appropriate teams
Team & Operational Support
Coordinate travel, accommodation, meetings and other project or team logistics
Support recruitment administration, including job descriptions, CV screening, interview coordination and liaison with HR
Support new starter administration, system access and onboarding
Provide general administrative and document support to the consulting team as required
Identify recurring administrative tasks that can be centralised and help establish consistent ways of working
Work proactively with consultants and support functions to ensure administrative actions are completed and issues resolved
Who You Will Work With
You will collaborate with colleagues across the Crisis24 global network — including teams in Europe, the Americas, the Middle East & Africa, and Asia Pacific — as well as cross-functional teamwork with our Special Risks, All Hazards, and Product Risk units will be a key part of your role.

Strong Microsoft Office skills, particularly Excel, Word and Outlook
Good written and verbal communication skills, with the confidence to follow up with colleagues and stakeholders at different levels of seniority
A proactive and practical approach, with the ability to identify outstanding actions, resolve routine issues and see tasks through to completion
Ability to work independently while collaborating effectively with consultants, Finance, HR and other support functions
Preferred Qualifications
Relevant tertiary qualification in Business Administration, Commerce, Project Management or a related field would be advantageous
