Community Events and Marketing Coordinator

Position Summary
The Community Events and Marketing Coordinator is a dynamic individual who is passionate about planning events that engage tenants and residents and foster connection and sense of community. The coordinator will strive to create value for all guests (residents and commercial tenants) at the complex using: strategic and remarkable events and programming; operational finesse and improvements; and outstanding service. This role is instrumental in building and developing a sense of community for our residents and tenants. This role aims to provide industry-leading levels of customer service and first-class facilities and realizing cost efficiencies. This role is fully in-person with no remote work option.

You are a problem-solver, a master of “figuring-it-out”, and have Google/YouTube as your favourite how-to apps

You can run projects from inception to completion

You are curious and love learning; you take experiences, processes, and practices to the next level

You are a strong written and verbal communicator, especially in sticky situations

You are comfortable working with a team that provides candid feedback and works to move the needle daily

You are a responsible and diligent individual who is a team player and takes ownership of your projects

Key Responsibilities

Event Strategy, Planning, and Execution

Plan and execute strategic and engaging events that create a sense of value-add for participants

Curate a wide variety of events to appeal to a variety of preferences

Plan, write, and execute marketing materials and social media to support events and engagement

Leverage current happenings, holidays, and events to drive and enhance events

Coordinate all logistical aspects of the event, including sourcing service/product providers, set-up and tear down, and risk management planning

Manage budgeting, vendors, and communications; including all event agreements

Create knowledge management for each event and ensure communication is clear to and between key stakeholders

Generate partnerships that build business for Westcorp and our tenants

Create communications plan for each event and monthly calendar (ex., newsletter, eblasts, website, social)

Complete and circulate monthly outcomes and reporting

Train security staff on after-hours event management and assist with the training of security personnel as required for after-hours follow up

Compete monthly reconciliations and variance reports

The goal: create a sense of engagement and belonging, including extraordinary customer service and elements of delight and surprise

Manage the Amenities spaces

This includes and isn’t limited to: conducting daily walk-throughs (private theatre, private dining room hall), resolving queries, preparing the booked spaces, and educating guests.

Communicate and handle any operational issues to the team and manage solutions

Manage inventory

Complete and circulate monthly reporting

Doing these duties in a timely manner

The goal: be a great manager of the space and its offerings, and manage a seamless booking experience and create value that has tenants wanting to continually live and work here

Marketing Coordination

Develop event and property promotion plans (email, social, web, signage)

Draft promotional emails and newsletters

Write event copy (landing pages, social posts, ads, invitations)

Coordinate creative assets with graphic designer

Schedule and publish social content

Create recap content (social posts, highlight reels, blog summaries)

Take organic photography and videography

Maintain brand voice alignment

Manage RSVP tracking and attendee communication

Creation of collateral, newsletters, eblasts to promote events, operational notifications, and social media content to drive the brand, interest, and conversion.

Drive the organization and execution of Move-in Day events, Leasing Open Houses, and other marketing events as required, leveraging the marketing and leasing teams for planning and day-of support

The goal: thoughtful organization and execution of strategies and tactics to increase customer satisfaction and drive profitability

Champion the amenities platform (Diversions) as a service and a brand

This includes and isn’t limited to: being the face of Diversions, creating internal and external collaborations, engaging with tenants, creating brand visibility, and building relationships

Regularly meet and update key stakeholders, including the marketing team, leasing teams, and property management teams

Social Media: Content creation. Capture moments of the brand and activation for use on marketing platforms, including social media

Doing these duties in a timely manner

Be an ambassador and team player for Westcorp

Execute all work in a safe, professional manner in compliance with Occupational Health and Safety Legislation.

Ensure local, provincial, & federal laws and regulations are being observed at the community.

Ensure comprehension and compliance with all Westcorp Playbook policies.

Complete other duties as assigned

Required Skills & Abilities

Ideally, Post-secondary education in marketing, event planning, communications, or a related field

2-5 years of relevant experience

Standard First Aid or NLS certification (Lifeguard) an asset

Highly proficient computer skills and knowledge of Microsoft Office (MS Word, Excel, Front Page, Outlook, Publisher, PowerPoint)

Experience in Adobe Creative Studio or other design programs an asset

Must be available to work evenings and weekends as required (hours may fluctuate depending on events scheduled)

Must be an outgoing individual who is socially inclined with strong interpersonal skills

Exceptional communication ability, written and verbal

High degree of professionalism and dedication to all stakeholders

Must be flexible and willing to change roles or responsibilities as required

Security clearance required upon offer of employment

Possess sensational customer service philosophy

Must have own vehicle and valid driver’s license

Highly organized, results-oriented and ability to work in a multi-functional team environment
