POSITION OVERVIEW
The Complex Administrative Manager is responsible for supporting the financial, human resources, and sales operations of two assigned hotels and a restaurant. This position oversees financial transactions, ensuring they are accurately recorded, reviewed, reconciled, and corrected as needed. The Complex Administrative Manager also oversees human resources activities, including payroll and benefits administration, while ensuring compliance with company policies and procedures. Additionally, this role manages sales-related tasks and initiatives as assigned.
In partnership with department managers, the Complex Administrative Manager promotes the consistent application of accounting, sales, and human resources policies, supports operational compliance, and verifies that established standards and processes are consistently followed.
DUTIES AND RESPONSIBILITIES
- The Complex Administrative Manager will receive comprehensive training on the duties and responsibilities outlined in this section. Detailed manuals, procedures, and Standard Operating Procedures (SOPs) will be available for ongoing reference.
- Daily Income Audit: Perform daily income audit functions, including making necessary manual journal entries to balance accounts, reconciling deposits across separate accounts and banks, updating cashier over/short reports, and reconciling cash and credit card receipts against system totals.
- Accounts Payable: Review and ensure invoices are properly coded and posted in M-3; establish new vendors and ensure W-9 compliance; scan and upload invoices to Intelligent Imaging; review vendor statements to verify all invoices have been received and recorded; and prepare, print, and mail weekly AP checks following approval and signature by the General Manager.
- Accounts Receivable: Review and assist with accounts receivable invoices and ensure billing is completed within three business days of hotel departure for assigned properties. Review third-party reservations and submit applicable documentation to vendors for payment; monitor guest ledgers to ensure outstanding balances are resolved promptly; receive and post payments received by mail or wire transfer; and reconcile Marriott Rewards statements to accounts receivable records.
- Payroll: Ensure all employee timecards are reviewed and approved; balance and record Food & Beverage tips; update variable garnishments; review payroll for accuracy and completeness; and submit payroll in accordance with established deadlines.
- Retirement Plan Administration: Prepare and submit bi-weekly 401(k) contribution files.
- Human Resources: Ensure all associate documentation is completed and properly signed; administer associate insurance benefits; and oversee Workers’ Compensation cases and related documentation.
- Sales Support: Provide administrative support for sales activities, including building room blocks, processing reservation requests, creating booking links, preparing and distributing pickup reports, completing light detailing, and assisting with final billing.
- Business Operations: The primary duties of this position involve work directly related to the business operations of the hotels and restaurant and their customers. The position requires the exercise of discretion and independent judgment in handling matters of significance, including financial, operational, and administrative responsibilities.
