About the Job:

Oregon Provider is a locally owned, family-run Medicaid agency supporting individuals with developmental and intellectual disabilities. The Compliance Manager oversees employee training compliance, onboarding and offboarding, orientation, personnel documentation, technology setup, and workforce systems. This position works closely with the Agency Director, HR Department, and field employees.


Job Site Location:

This position is 100% in person at our Sandy, Oregon office and is not eligible for remote or hybrid work.


Position Details:

  • Full-Time: 40 hours per week
  • Monday–Friday
  • 8:00am-4:30pm
  • In-person administrative/management position
  • Sandy, Oregon
  • Compensation based on experience and qualifications

Key Responsibilities:

  • Track and maintain employee training and compliance requirements for ODDS, Vocational Rehabilitation (VR), Oregon Commission for the Blind (OCB), and Agency requirements
  • Monitor required trainings, certifications, expiration dates, driver's licenses, and automobile insurance; follow up on missing or expiring requirements
  • Maintain accurate compliance documentation and employee records in BambooHR, Google Drive, and other Agency systems
  • Assist with the complete employee onboarding and offboarding process
  • Schedule and conduct new-hire orientation and ensure all required training, documentation, and onboarding requirements are completed before employees leave orientation or begin independent fieldwork
  • Prepare required acknowledgment forms and onboarding/offboarding documentation
  • Convert BambooHR applicant records to employee files and maintain organized electronic personnel records
  • Set up employee Google files, Agency email signatures, Chromebooks, and required phone applications
  • Assist employees with payroll setup and TimeKeeper/EVV setup, training, and corrections
  • Obtain and upload employee photos for BambooHR, WhatsApp, the Agency website, and other approved systems
  • Add new employees to appropriate WhatsApp groups and Agency systems
  • During offboarding, remove employees from the Agency website, WhatsApp groups, and assigned systems; coordinate termination of access and properly transfer/archive required records
  • Complete accurate and timely compliance-related data entry
  • Conduct routine employee-file and compliance audits and promptly report unresolved compliance concerns to appropriate leadership
  • Assist employees with questions regarding training, onboarding, documentation, technology, and Agency systems
  • Maintain confidentiality and protect employee and client information in accordance with HIPAA, Agency policies, and applicable requirements
  • Perform additional administrative and compliance duties as assigned


Qualifications:

  • Strong organization, attention to detail, reliability, initiative, and follow-through
  • Strong computer and data-entry skills
  • Comfortable using Google Workspace, BambooHR, Chromebooks, smartphones, electronic timekeeping systems, and web-based applications
  • Ability to manage multiple employees, deadlines, training requirements, and expiration dates simultaneously
  • Strong written and verbal communication and problem-solving skills
  • Ability to professionally address missing or overdue employee requirements
  • Ability to maintain confidential employee and client information
  • Ability to work independently while communicating effectively with Agency leadership
  • Willingness to learn and maintain working knowledge of ODDS, VR, OCB, and Agency compliance requirements
  • Must reliably report to the Sandy, Oregon office for all scheduled work hours
  • Administrative, HR, compliance, Medicaid, healthcare, developmental disability services, or employee onboarding experience preferred


Accountability & Performance Expectations:

This position requires proactive compliance monitoring, accuracy, and consistent follow-through. The Compliance & Onboarding Manager is responsible for identifying missing or upcoming requirements, communicating deadlines, documenting follow-up, and escalating unresolved concerns. Employees must have required onboarding, training, documentation, and compliance requirements verified before independently providing services unless otherwise authorized by Agency leadership.
