Compliance Specialist (Shipping Company)

Role Purpose
Support the Compliance Manager in developing, implementing, and maintaining company's compliance framework, while fostering a strong culture of compliance awareness and ethical conduct across the organization.
Key Responsibilities
Compliance
- Assist the Compliance Manager in the development, implementation, periodic review, and enhancement of compliance policies and procedures in line with JS&SL requirements. Assess the effectiveness of existing controls, identify potential gaps, and recommend practical improvements to strengthen governance and risk management practices.
- Maintain the Company’s Policy Management System by ensuring policies and procedures remain accurate, up to date, and properly documented. Manage version control, document indexing, retrieval processes, and audit trail requirements, while coordinating updates with policy owners as necessary.
- Support the promotion of compliance awareness across the Group and international offices through the development and delivery of compliance communications, training programmes, workshops, and awareness initiatives. Tailor content to encourage understanding and effective adoption of compliance standards.
- Conduct vendor due diligence as part of the onboarding process, including compliance and sanctions screening. Review findings, identify potential compliance concerns, document results, escalate issues where appropriate, and support remediation efforts to facilitate informed onboarding decisions.
- Assist in the administration and enhancement of Counterparty KYC and sanctions screening processes by ensuring documentation is complete, screening activities are properly performed, and internal requirements are consistently met. Support issue resolution, monitor follow-up actions, and maintain workflow effectiveness across stakeholders.
- Act as a liaison for internal stakeholders on compliance and data protection matters by providing guidance on policy interpretation, control requirements, and day-to-day compliance queries. Promote risk-based decision-making and escalate significant concerns when necessary to ensure consistent application of compliance standards.
- Support internal audit activities by coordinating information requests, compiling supporting documentation, scheduling stakeholder engagements, and tracking audit responses. Assist in monitoring remediation efforts and ensuring timely closure of audit findings.
- Participate in or lead ad-hoc projects focused on process improvements and control effectiveness assessments. Analyse workflows, identify operational or control weaknesses, and support the implementation of enhancements while ensuring clear documentation and measurable results.

Qualifications & Experience
- Bachelor's Degree in Accountancy, Finance, or a related discipline.
- Minimum of 2 years' experience in Internal Audit, External Audit, process and controls review, or policies and procedures management.
