The Hotel at the University of Maryland is a AAA Four Diamond independent property located directly across from the University of Maryland campus. The Hotel features 297 guest rooms, including 9 suites, and more than 45,000 square feet of flexible meeting and event space, accommodating programs ranging from intimate gatherings to events of up to 1,500 attendees.

Position Summary

The Conference Services Manager serves as the primary liaison between the hotel and the client once a group contract is signed, guiding each program from planning through flawless execution. This role builds strong client relationships, coordinates event logistics across departments, and ensures every group experience reflects the hotel's Four Diamond standard of service—while identifying opportunities to drive incremental revenue.

Key Responsibilities

Client-Focused Relationship Management

  • Acts as the primary liaison between the hotel and the client after a group contract is signed.
  • Builds strong relationships to understand client needs, preferences, and event goals.
  • Delivers exceptional service to ensure client satisfaction, repeat business, and positive reviews.

Planning & Organization

  • Develops and manages detailed event timelines, covering food & beverage, AV, rooming lists, and all supporting logistics.
  • Creates Banquet Event Orders (BEOs), diagrams, and event resumes.
  • Manages multiple groups and overlapping timelines simultaneously with precision and efficiency.

Cross-Departmental Communication

  • Works cross-functionally with Sales, Accounting, Front Desk, Parking, Culinary, Banquets, AV, and Housekeeping.
  • Ensures all departments are aligned on event expectations, changes, and special requests.
  • Communicates clearly and professionally with both internal teams and external clients.

Problem Solving & Flexibility

  • Quickly resolves challenges during planning and execution phases.
  • Maintains composure under pressure, especially during large or complex programs.
  • Pivots quickly with last-minute changes without disrupting the guest experience.

Attention to Detail

  • Provides details to the team for special setups.
  • Ensures billing accuracy.
  • Thoroughly checks all logistics to ensure nothing is overlooked.

Revenue Awareness

  • Identifies up-sell opportunities in AV, décor, food & beverage, and other services.
  • Balances client needs with hotel profitability and operational efficiency.

Professionalism & Presentation

  • Represents the hotel brand in a polished, enthusiastic, and service-first manner.
  • Maintains composure in high-pressure situations and during high-level client interactions.
Requirements
  • Previous experience in event planning, catering, or hospitality services required.
  • Strong knowledge of hotel systems (e.g., Delphi, Opera, Social Tables) preferred.
  • Mastery of Microsoft Office (Word, Email, Excel)
  • Excellent written and verbal communication skills.
  • Strong math skills
  • Ability to manage budgets and understand contracts.
  • High school diploma or equivalent required; associate's or bachelor's degree in Hospitality Management, Business, or a related field preferred.
  • Ability to work a flexible schedule, including evenings, weekends, and holidays based on business demand.
