The Confidential Secretary will provide administrative and secretarial support to senior management or designated executives by managing correspondence, coordinating schedules, preparing documents, maintaining confidential records, and facilitating effective communication. Key Responsibilities
Manage calendars, appointments, meetings, and schedules for senior management or designated executives.
Prepare, format, proofread, and organize letters, reports, presentations, minutes, and other official documents.
Receive, screen, and direct telephone calls, emails, visitors, and correspondence appropriately.
Maintain accurate and confidential filing systems for physical and electronic records.
Draft routine correspondence, memos, notices, and other communications as directed.
Record, prepare, and distribute meeting agendas, minutes, and action points.
Follow up on assigned tasks and action items to support timely completion.
Coordinate meetings, including preparing venues, materials, attendance lists, and refreshments where required.
Handle confidential information with discretion and maintain a high level of professionalism.
Assist with travel arrangements, itineraries, accommodation bookings, and related documentation.
Maintain office supplies and assist with monitoring administrative resources.
Support the preparation and submission of routine administrative reports and documents.
Liaise with internal departments and external stakeholders on behalf of senior management when required.
Receive and organize incoming and outgoing mail, courier items, and official documents.
Assist with data entry, document tracking, and updating administrative records.
Perform other administrative and secretarial duties as assigned by the supervisor.
