Conflicts Analyst
Kilpatrick, a large international law firm, is seeking a Conflicts Analyst for our Conflicts Team in our Dallas or Houston office. This position will be part of our team of attorneys, paralegals and support staff providing a high level of service to both internal and external clients. Our Conflicts Department supports every new client, new matter, and lateral hire that comes through the firm. The Conflicts Analyst is the administrative engine of that process — the individual who makes sure requests are received, logged, run, tracked, and returned accurately and on time. It is detail-driven, process-driven work, and it is what allows the firm to open business quickly and cleanly. Reporting to Conflicts Department leadership and working in support of the Conflicts Analyst team, attorneys, and firm administrative teams, the Conflicts Analyst performs day-to-day administrative and recordkeeping functions within the conflicts workflow. This is an important role focused on accurate execution of established procedures in support of the Conflicts Team and attorneys.
ESSENTIAL JOB FUNCTIONS:
- Logs all conflicts clearance in the document management system and/or conflicts database, including coordinating filing or waivers, and establishes electronic files and documents for all lateral hire questionnaires; monitors the department queue to ensure requests are addressed within established turnaround times.
- Runs limited conflicts searches in the firm's conflicts database in accordance with established department procedures and search protocols.
- Verifies and maintains party, client, and matter data in the conflicts and records systems, ensuring accuracy, consistency, and adherence to naming conventions.
- Escalates potential or apparent conflicts, incomplete requests, and unusual or complex searches to the Conflicts Team or department leadership.
- Maintains complete and organized records of conflicts requests, search results, waivers, and related correspondence in accordance with firm retention policies.
- Tracks the status of open requests, follows up on outstanding information, and provides status updates to requesting attorneys and staff.
- Assists with departmental reporting, audits, data clean-up projects, and other administrative support as assigned.
KNOWLEDGE/SKILLS REQUIRED:
- Associate’s degree or equivalent required; Bachelor’s degree or equivalent experience preferred.
- A minimum of three years of prior administrative, data entry, or records experience in a law firm or other professional services environment required.
- Experience with an automated conflicts or new business intake system preferred; experience with Intapp Open is a plus.
- Strong attention to detail and a high degree of accuracy in data entry and recordkeeping.
- Ability to follow established procedures consistently and to recognize when a matter should be escalated.
- Solid oral and written communication skills, including the ability to correspond professionally with attorneys and staff at all levels.
- Strong organizational skills and the ability to manage a high volume of requests, competing priorities, and tight deadlines.
- Proficiency with Microsoft Office (Outlook, Word, Excel) and comfort learning new firm systems.
- Discretion and sound judgment in handling confidential client and firm information.
This is a full-time, regular position with a multi-faceted health benefit package including medical, dental, and vision. The firm also offers life insurance, short term disability plans and retirement plans in addition to holidays and paid time off. The firm offers hybrid work schedules combining in office work days as well as remote work days. The pay range for this position in Dallas or Houston only is $33.33 to $35.89 per hour.
