CONTRACT ADMINISTRATOR – 3-MONTH FIXED-TERM CONTRACT

Position: Contract Administrator

Contract Period: 3 Months – Fixed-Term Contract

Remuneration: Up to R25,000 Cost to Company (CTC) per month

Location: Midrand, Gauteng

Reporting To: Contract Manager

Purpose of the Position

Our client requires an experienced Contract Administrator with strong tender administration and tender evaluation experience to provide short-term support to the Contract Management function.

The successful candidate will provide administrative and operational support throughout the tender evaluation, adjudication, award and contract administration process.

This is not a Buyer, Logistics, Vendor Management or general purchasing position.

The primary focus of the role is tender management and administration, particularly the evaluation stage of the tender process. The successful candidate must have practical experience working with tender submissions, evaluation criteria, compliance requirements, evaluation documentation and tender administration.

The candidate will not be responsible for compiling or writing tender specifications as the primary function of the role.

Key Responsibilities

  • Administer tender processes and maintaining accurate tender documentation and records
  • Support the tender process from tender closure through evaluation, adjudication and award
  • Review tender submissions against prescribed mandatory and administrative requirements
  • Assist with the coordination and administration of tender evaluation processes
  • Work with evaluation criteria and evaluation documentation, including mandatory requirements, functionality/technical evaluations and pricing information where applicable
  • Prepare and maintain evaluation schedules, checklists, scoring documentation and supporting records
  • Check tender submissions for completeness and ensuring that the required supporting documentation is available for evaluation
  • Coordinate documentation required by evaluation and adjudication committees
  • Record and maintain accurate evaluation outcomes, recommendations and supporting documentation
  • Maintain a clear and complete audit trail throughout the tender evaluation and award process
  • Assist Contract Managers with the administration of tender and contract portfolios
  • Ensure that tender and contract documentation is appropriately filed and maintained in accordance with procedures
  • Assist with contract award administration and ensuring that the required documentation is completed and recorded
  • Capture and maintain accurate tender and contract information on applicable electronic/e-procurement systems
  • Monitor deadlines and ensuring that tender administration activities are completed within prescribed timeframes
  • Liaise professionally with internal stakeholders, member institutions and other relevant parties where required
  • Provide general contract administration support to the Contract Manager during the three-month assignment.

Minimum Qualification – NON-NEGOTIABLE

  • Diploma in Supply Chain Management or Procurement / Supply Chain Management
  • Relevant higher qualification may be considered advantageous; however, candidates must have an appropriate Supply Chain/Procurement qualification

Required Experience – NON-NEGOTIABLE

  • Practical tender management/tender administration experience, with specific experience in the evaluation of tenders
  • Tender administration
  • Tender evaluation processes
  • Evaluation of tender submissions against mandatory requirements
  • Functionality/technical evaluation administration
  • Tender compliance checking
  • Evaluation schedules and documentation
  • Tender committee/evaluation committee administration
  • Maintain tender evaluation records and audit trails
  • E-procurement/e-tendering systems or similar electronic procurement platforms
  • Work within prescribed procurement policies, procedures and deadlines
  • Experience in a public-sector, higher-education, corporate procurement or similarly regulated tender environment will be advantageous

  • Ability to maintain complete and accurate audit trails
  • Excellent planning and organisational skills
  • Ability to manage multiple tenders/tasks and demanding deadlines
  • Strong written and verbal communication skills
  • Good problem-solving ability
  • Strong Microsoft Excel and Word skills
  • Knowledge or experience of e-procurement/e-tendering systems
  • Ability to work independently while supporting Contract Managers and evaluation teams
