Contract Coordinator
Flexstaff is looking for a Contract Coordinator to join our clients team.
Job Location: Melville, NY (100% onsite)
Salary: $75,000-$100,000/yr
Schedule: Day Shift Week Day Hours 9/80: compresses 80 hours of work into nine days across a two-week period, allowing employees to work eight 9-hour days and one 8-hour day to earn every other Friday off.
Responsibilities:
- Review proposed contracts to ensure that the price, delivery schedule, specifications, terms and conditions are consistent with the quotation submitted.
- Maintain and reconcile backlogs, bookings and sales reports.
- Maintain Salesforce, reconciling to bookings reports.
- Maintain customer, supplier and sales rep database in ERP system.
- Maintain and monitor customer supplier portals, updating annuals Certs and Reps, invoicing, obtaining new purchase orders, and requests for quotations.
- Assist with close-out of contracts including the final billing and retentions or disposition of customer furnished material. Makes final review and submission of required forms to ensure that all requirements
- Routinely interfaces with other business functions to assist with license requirements planning and addresses daily operations issues/questions
- Process all export shipping documents at time of shipment to ensure compliance; customs invoice, review packing lists, create shippers Letter of Instruction. Interface with freight forwarders/customers to arrange the shipment. Coordinate pickup dates to meet our monthly sales requirements.
- Supports FSO with visitor request processing. Screen names in Visual Compliance, update visitor log and report findings for final FSO approval.
Qualifications:
- High School diploma and a minimum of 8 years of prior related experience or Associate’s degree with a minimum of 4 years of prior related experience.
- 5+ years contract management experience in defense manufacturing industry
- Familiarity with large, complex multifaceted electronics design & manufacturing environment
- Familiarity with defense aerospace industry & regulations and understanding of the role of procurement in complex industries.
- Familiarity of FAR and DFAR regulations and of ITAR (International Traffic in Arms Regulation) and EAR (Export Administration Regulation)
- Understanding of subcontractor solicitations and bid analysis/process.
- Microsoft Office proficiency required
- CostPoint and Salesforce experience a plus
