Contract Manager
Key Responsibilities
- Prepare and draft sales and purchase contracts based on approved deal confirmations and agreed commercial terms.
- Review, negotiate, and finalize contractual terms with counterparties, ensuring alignment with commercial agreements, company policies, and risk management requirements.
- Coordinate with traders, legal, finance, operations, and counterparties to resolve contractual issues, discrepancies, and operational matters
- Monitor contract status and ensure timely execution and signing by all parties
- Maintain accurate contract records and ensure proper documentation throughout the contract lifecycle
- Manage contract amendments, extensions, and other contractual changes as required
- Monitor contractual obligations and key milestones to ensure compliance with agreed terms and conditions
Shipment Execution & Trade Settlement
- Manage shipment execution, trade documentation, invoicing, settlements, and account reconciliation to ensure smooth and timely transaction completion
- Review provisional and final invoicing, pricing adjustments, quality and quantity adjustments, debit or credit notes, demurrage and other claims, and account reconciliation
Risk, Compliance & Reporting
- Monitor contract performance, ensure compliance, prepare operational reports, and support process improvement initiatives
- Ensure that contracts include appropriate sanctions, export control, anti-money laundering, anti-bribery and corruption, and counterparty compliance provisions in line with company policy and transaction risk
- Perform counterparty KYC, beneficial ownership checks, sanctions and adverse-media screening, and required approvals before contract execution or payment
- Maintain complete and accurate contract files, approval records, signed agreements, amendments, notices and key correspondence in the designated ERP system
Requirements
- Degree in a relevant discipline
- 5–8 years of experience in commodity, contract administration, or trade operations.
- Knowledge of Incoterms, shipping documentation, shipping terms and trade settlement processes.
- Experience using ERP systems is a must.
- Proficient in Microsoft Excel and other MS Office applications.
- Strong attention to detail, communication, and organizational skills.
- Experience working with colleagues across different cultures and time zones.
- Experience collaborating with cross-functional teams
- Proficiency in Mandarin Chinese is an advantage
- knowledge of UCP 600 and LC documentation. Familiarity with ISBP, URC522, URDG 758 and ISP98 is desirable
