Beltway Cleaning Services, a Washington, DC-based commercial cleaning company, is hiring a Controller to take full ownership of its accounting operations, financial reporting, and day-to-day office administration.

This is a hands-on role. You will be responsible for ensuring our financials are accurate, our processes are controlled, and issues are identified, investigated, and resolved--not just reported.

The company runs on QuickBooks Online. The Controller works directly with ownership and with the company's outside CPA firm, which handles tax compliance and advisory.

What You Will Own

Financial Reporting & Close

  • Own the monthly close process

  • Produce accurate, fully supported P&L and Balance Sheet monthly

  • Reconcile all bank, credit card, and loan accounts monthly

  • Identify and explain variances and inconsistencies

  • Prepare financial statements and reporting for the company's bank, including line-of-credit requirements

  • Prepare the year-end close package for the outside CPA firm

Accounts Receivable

  • Prepare and send monthly customer invoices, including recurring contract billing, from QuickBooks Online

  • Monitor bank accounts for ACH deposits and deposit checks received, identify and match payments to relevant invoices, and record payments in the accounting system daily

  • Monitor AR aging and follow up with customers on invoices more than 30 days past due

  • Identify high-risk or severely past-due accounts, flag to leadership, and support service holds and escalation procedures

Accounts Payable

  • Receive and verify vendor bills, ensuring proper coding and documentation

  • Record vendor bills in the accounting system and monitor bank accounts and credit cards to record bill payments

  • Perform A/P reconciliation monthly, ensuring all payments are applied against open balances

  • Maintain vendor records (W-9s) to support year-end 1099 reporting

Sales & Use Tax Compliance

  • File and pay monthly sales and use tax returns (DC and Maryland) and record payments in QuickBooks Online

Payroll

  • Oversee payroll accuracy and labor coding (WinTeam timekeeping and outside payroll provider)

  • Record payroll in QuickBooks Online and reconcile payroll liabilities

Office Administration & Owner Support

  • Serve as the primary point of contact for ownership on financial and administrative matters

  • Manage day-to-day office administration, including correspondence, scheduling, and recordkeeping

  • Respond to requests and notices from banks, insurers, and tax agencies

  • Coordinate with the outside CPA firm on tax filings and year-end information

You Will Be a Good Fit If You:

  • Are hands-on, detail-oriented, and take ownership of your numbers

  • Can identify issues without being told

  • Are comfortable working in an environment where systems are improving and not everything is perfectly structured

  • Are willing to work across departments to fix problems

  • Are comfortable wearing multiple hats, from month-end close to office administration

Compensation

  • Salary: $100,000-$125,000 (based on experience and capability)

  • Bonus potential based on performance

  • Eligible for health, dental, and vision benefits after 90 days of employment

  • Paid time off and holidays

Why This Role

  • High visibility with ownership and leadership

  • Opportunity to own and improve the accounting function

  • Build out a newly implemented QuickBooks Online system
