Position Summary

The Convenience Retail Rebate & Marketing Income Manager is responsible for overseeing supplier-funded income programs across the business, including rebates, promotional funding, loyalty initiatives, retail media programs, and other commercial agreements. This role ensures supplier income is accurately tracked, forecasted, invoiced, collected, and reconciled while maintaining strong financial controls and compliance standards.

Working closely with Category Management, Finance, Operations, Marketing, Loyalty, and supplier partners, the Manager will play a critical role in protecting profitability, improving cash flow, and driving process excellence across supplier income and promotional funding programs.

Key Responsibilities

Supplier Income Management

  • Manage supplier-funded income programs including rebates, promotional funding, loyalty/app activations, retail media, and other commercial agreements.
  • Review and interpret supplier agreements to ensure accurate implementation of funding terms.
  • Configure and maintain rebate and income programs within company systems.
  • Maintain complete and audit-ready documentation supporting all supplier income activities.

Financial Planning & Reporting

  • Support budgeting, forecasting, and accrual processes for supplier income programs.
  • Monitor performance against budget and explain variances between forecasted, earned, invoiced, and collected income.
  • Identify financial risks and recommend actions to mitigate exposure and improve collection performance.
  • Prepare regular management reports highlighting results, risks, and opportunities.

Promotional & Marketing Funding Administration

  • Oversee the financial administration of supplier-funded promotions, loyalty campaigns, and retail media programs.
  • Validate funding commitments, program execution requirements, and performance metrics before launch.
  • Reconcile planned funding against actual results and ensure timely invoicing and collection.
  • Provide suppliers with supporting documentation and program performance reporting.

Billing, Collections & Reconciliation

  • Prepare and manage supplier invoices, claims, deductions, and payment processing activities.
  • Monitor aging balances and resolve disputes, discrepancies, and collection issues.
  • Reconcile supplier income records to accounts receivable, general ledger balances, supplier statements, and supporting data.
  • Support month-end, year-end, and audit-related activities.

Process Improvement & Cross-Functional Collaboration

  • Identify opportunities to improve automation, reporting, and operational efficiency.
  • Partner with Category Management, Finance, Operations, Marketing, Loyalty, and IT teams to ensure accurate program execution.
  • Communicate risks, control issues, and process improvement recommendations to leadership.
  • Support ongoing business transformation, standardization, and system enhancement initiatives.

Required Qualifications

Education

  • Bachelor's degree in Finance, Accounting, Business Administration, Marketing, Information Systems, or a related field.
  • Equivalent combination of education and experience may be considered.

Experience

  • 3+ years of experience in supplier income, rebates, accounts receivable, commercial finance, trade promotion management, retail accounting, category management support, or a related field.
  • Experience within convenience retail, consumer packaged goods (CPG), or retail environments is preferred.
  • Experience working with financial systems, rebate management platforms, ERP systems, accounts receivable applications, or promotional funding tools is preferred.

Knowledge, Skills & Abilities

  • Strong understanding of accrual accounting, financial controls, invoicing, collections, and reconciliation processes.
  • Advanced analytical and spreadsheet skills with the ability to interpret complex financial data.
  • Ability to translate contractual terms into operational processes and reporting requirements.
  • Strong attention to detail and commitment to accuracy.
  • Excellent communication and stakeholder management skills.
  • Ability to manage multiple priorities, deadlines, suppliers, and programs simultaneously.
  • Proven problem-solving, dispute resolution, and process improvement capabilities.
  • Comfortable working in a fast-paced, cross-functional environment while driving accountability and results.
