Job Summary
The Conveyancing Secretary supports conveyancing lawyers by managing residential and commercial property transactions from start to finish, ensuring accuracy, organisation, and timely communication in a fast-paced legal environment.
Responsibilities
- Assist in managing HDB and private residential property transactions, including sales, purchases, and refinancing
- Prepare, draft, and process standard conveyancing documents and correspondence under lawyer supervision
- Lodge caveats, transfer documents, and other instruments with the Singapore Land Authority (SLA) via INLIS
- Liaise with the Central Provident Fund (CPF) Board on CPF housing matters and withdrawal processes
- Coordinate mortgage documentation, loan redemptions, and security document releases with banks and financial institutions
- Follow up on bank requisitions and ensure timely receipt of mortgage proceeds
- Prepare and reconcile completion accounts with accurate financial figures
- Coordinate with clients, sellers, buyers, developers, banks, and lawyers to ensure smooth transaction completion
- Arrange execution and exchange of legal documents for property transactions
- Prepare and submit Buyer’s Stamp Duty (BSD) and Additional Buyer’s Stamp Duty (ABSD) applications via the IRAS stamp duty portal
- Ensure all stamping is completed within statutory deadlines
- Maintain up-to-date knowledge of conveyancing regulations, CPF rules, and stamp duty policies
- Communicate professionally with clients to provide transaction updates and collect required documents
- Liaise with HDB, SLA, CPF Board, banks, developers, and other law firms on behalf of supervising lawyers
- Respond promptly and courteously to client enquiries, escalating complex issues to lawyers
- Open, maintain, and close client files following firm file management procedures
- Update and maintain accurate records in the firm’s matter management system
- Prepare billing narratives, issue invoices, and follow up on outstanding payments
- Archive and dispose of closed files in compliance with firm policies
Required competencies and certifications
- Minimum 1 to 2 years of conveyancing secretarial experience in a Singapore law firm
- Prior experience handling HDB and/or private residential property transactions
- Proficiency in using INLIS, STARS eLodgement, CPF Housing Portal, and IRAS e-Stamping portal
- Ability to draft routine conveyancing correspondence and documents accurately
- Proficient in Microsoft Office applications (Word, Excel, Outlook)
Preferred competencies and qualifications
- Experience with refinancing matters and developer sales and purchases
- Familiarity with law firm practice management or conveyancing software
- Diploma or certificate in Legal Studies, Paralegal Studies, or related discipline
- Relevant on-the-job experience considered equal to formal qualifications
- Proficiency in a second language (Malay, Chinese, or Tamil)
