Conveyancing Secretary

Red Ember Recruitment is currently recruiting for a well-established and highly respected law firm based in Cape Town CBD, who are looking for an experienced Conveyancing Secretary to join their busy Property Department.

This is an excellent opportunity for a seasoned Conveyancing Secretary with strong property transfer experience who is confident managing files from instruction through to registration and enjoys working in a professional, fast-paced legal environment.

Key Responsibilities

  • Manage residential and commercial property transfer files from inception to registration.

  • Prepare and draft all necessary transfer documentation.

  • Liaise with clients, estate agents, financial institutions, municipalities, and the Deeds Office.

  • Obtain rates clearance certificates, levy figures, transfer duty receipts, and other required documentation.

  • Prepare accounts and ensure all financial requirements are met prior to lodgement.

  • Coordinate lodgement and registration of transfers.

  • Provide regular progress updates to clients and relevant stakeholders.

  • Maintain accurate electronic and physical filing systems.

  • Ensure all transactions are processed accurately, efficiently, and in line with legal and regulatory requirements.

  • Manage multiple files while consistently meeting deadlines.



Requirements


  • 8–10 years’ experience as a Conveyancing Secretary, with a strong focus on property transfers.

  • Comprehensive knowledge of the property transfer process from inception to registration.

  • Experience with recognised conveyancing software such as GhostPractice, Lexis Convey, LegalSuite, or similar.

  • Strong knowledge of Deeds Office procedures and conveyancing documentation.

  • Excellent administrative, organisational, and time-management skills.

  • Exceptional attention to detail and accuracy.

  • Ability to work effectively under pressure in a deadline-driven environment.

  • Strong communication and interpersonal skills.

  • Ability to manage a high volume of files simultaneously.

  • Proficiency in Microsoft Office.
