Coordinator - People & Culture (6 Month Fixed Term Contract)
Summary
Coordinates HR tasks like payroll, training, and HRIS management for a New Zealand mining operation, ensuring compliance and employee support.
To provide support across the People & Culture (P&C) team to deliver an efficient human resources service that contributes to the strategic objectives at Waihi Operation. To work closely with the P&C Business Partners and Manager to deliver generalist activities such as payroll coordination, and training. Support and provide effective administration and coordination of the day-to-day operations of the human resources functions and duties, using the relevant HR management systems and processes.
Key Tasks and Responsibilities (Including but not limited to):
Payroll:
- Act as the first point of contact for all payroll administration activities to ensure employee payroll information is accurate, complete and submitted within required timeframe.
- Maintain accurate payroll-related employee data, including changes to employment details, hours, allowances, leave and other payroll adjustments.
- Liaise with employees, managers to resolve payroll queries and support timely payroll processing.
- Review payroll documentation and employee records to ensure information is accurate, compliant and appropriately authorised.
- Support the preparation and checking of payroll inputs, ensuring changes are processed in accordance with company procedures and legislative requirements.
- Maintain confidentiality and accuracy when handling employee payroll information and sensitive personal data.
- Identify and escalate payroll issues or discrepancies in a timely manner to ensure they are resolved appropriately.
Effectively use the Human Resource Information System (HRIS) to ensure information is up to date and accurate in the system:
- Maintain the SuccessFactors HRIS in consultation with the OceanaGold People and Culture team.
- Assist with Success Factors troubleshooting, training and support to all OceanaGold New Zealand sites.
Ensure training is in line with Company direction and meets learner requirements:
- Assist in the delivery of HR Training Modules to the departments.
- Deliver training modules and training on HR Standard Operating Procedures (SOPs).
Employee Relations:
- Participate in providing effective employee relations service, through promoting and providing education relating to employee benefits, e.g. KiwiSaver, EAP, Southern Cross Health Insurance.
Provide support and complete general administration duties:
- Provide administration support to the P&C team by coordinating electronic diaries, assisting with the preparation and maintaining documents and presentations when required.
- Complete administration required for new and existing employees, which includes Individual Employment Agreements, Letters of Engagement and amendment to employee contracts.
- Coordinate travel and relocation requirements for P&C team and with the travel and relocation of employees as required.
- Maintain employee files ensuring essential documentation is included in the files.
- Assist the People and Culture team with administration of all other Human Resources processes when required.
- Processing invoices for payment through Approval Plus and Pronto.
- Maintain knowledge of and comply with relevant New Zealand legislative requirements relating to human resources.
- Full and current Driver Licence, ability to drive manual vehicles is preferred.
- Hold a tertiary qualification in Human Resources or relevant experience in a busy HR function.
Experience:
- At least 2 years previous administration experience in a Human Resources role/and experience in recruitment or a HR generalist role at administration support level.
- Proficient working knowledge of Microsoft packages including Word, Excel, Publisher and PowerPoint is essential.
