Coordinator, Proposal Support
The Bid Coordinator supports the Advisory business in the coordination of work winning activities across the opportunity lifecycle. The role provides support for EOIs, PQQs, governance processes, CRM management, pipeline reporting, and tender submissions, helping to ensure opportunities are effectively tracked, coordinated, and progressed in line with business requirements.
Working closely with Proposal Managers, opportunity owners, and the Advisory Team, the role supports the administration of governance activities, opportunity reporting, and proposal submissions while maintaining high standards of quality and compliance.
The role also assists with proposal production activities, including document formatting, CV and project experience updates, presentation development, and tender submissions through client procurement portals.
Proposal Support
Support the preparation, coordination, and submission of EOIs, PQQs, proposals, and tender responses.
Assist in compiling proposal documents, ensuring formatting, consistency, and completeness.
Coordinate information requests and follow up with technical, commercial, finance, legal, and business development stakeholders.
Support proofreading and quality reviews prior to submission.
Support online and offline tender submissions.
Governance & Work Winning Support
Coordinate Advisory Go / No-Go reviews and proposal sign-off processes.
Schedule governance meetings and maintain action trackers.
CRM & Pipeline Management
Maintain opportunity records within CRM systems.
Follow up with opportunity owners to ensure data remains accurate and up to date.
Generate regular pipeline and opportunity reports for leadership review.
Business Operations Support
- Support administrative activities associated with pursuits and proposals, including tender bond applications, legal review requests, internal approvals, client registrations, and vendor onboarding requirements.
Presentation & Document Production
Format PowerPoint presentations and proposal documents in accordance with corporate standards.
Support the development of proposal graphics, process diagrams, and visual content.
Assist in the production of client-facing documents and pursuit materials.

QUALIFICATION & EXPERIENCE
Bachelor's degree in Business, Marketing, Communications, Engineering, or a related discipline.
2–4 years of experience in proposal coordination, bid support, business development support, or a similar role.
Experience within the AEC sector or professional services environment preferred.
Exposure to Middle East procurement and tendering processes is an advantage.
Strong proficiency in Microsoft Office Suite, particularly PowerPoint.
Experience using procurement portals such as Ariba, Oracle, SAP, government e-procurement platforms, or similar systems is desirable.
