About the Role:

This is a six-month fixed-term position.The Coordinator – Quality Assurance assists the Manager – Continuous Improvement to maintain quality assurance activities, support and conduct internal audits, monitor corrective actions, strengthen compliance with relevant aged care and NDIS regulatory requirements, and promote a practical culture of continuous improvement across Valmar’s services.
The role works collaboratively with managers, coordinators, staff and stakeholders to ensure services are safe, compliant, person-centred and aligned with Valmar’s quality management framework, policies, procedures and values

Key Duties/Responsibilities
Without limiting the general scope and application of this Duty Statement, the duties include:
Quality Assurance and Continuous Improvement
· Support the planning, coordination and implementation of quality assurance activities across Valmar services.
· Assist with internal audits, service reviews and quality monitoring activities.
· Monitor corrective actions and improvement actions arising from audits, reviews, incidents, complaints, feedback and service evaluations.
· Maintain and support continuous improvement registers, action plans and related documentation.
· Assist services to identify quality gaps, document improvement opportunities and implement practical solutions.
· Promote a culture of continuous improvement through consultation, communication and staff engagement.
· Contribute to organisation-wide improvement projects, including process reviews, workflow mapping and system improvements.
· Delivering education & training to service managers and staff in relation to the Quality Management
Compliance and Regulatory Support
· Support compliance with relevant legislative, regulatory and accreditation requirements, including NDIS Practice Standards, NDIS Quality and Safeguards requirements, Aged Care regulatory requirements, Strengthened Aged Care Quality Standards, WHS obligations and Valmar policies.
· Assist with preparation for external audits, certification, verification and quality review processes.
· Maintain awareness of changes to relevant standards, legislation and regulatory expectations and support updates to internal processes where required.
· Support services to maintain compliant records, evidence and documentation for audit and review purposes.
· Assist with monitoring compliance trends and escalating emerging risks or areas requiring attention.
Internal Audit and Review Activities
· Assist in developing and maintaining internal audit schedules in consultation with the Manager – Continuous Improvement.
· Conduct or support internal audits, file reviews, service checks and compliance reviews across relevant service areas.
· Document findings clearly and accurately, including areas of good practice, gaps, risks and improvement recommendations.
· Follow up audit outcomes and support managers/coordinators to close corrective actions within agreed timeframes.
· Support staff to understand audit requirements and maintain audit-ready documentation.
Incident, Risk and Feedback Management
· Support the monitoring and review of incidents, complaints, feedback, hazards and other quality-related data.
· Assist with identifying trends, recurring issues and emerging risks across services.
· Support investigation processes as required, including documentation, evidence gathering, action tracking and reporting.
· Assist with maintaining risk and quality registers, including follow-up of mitigation strategies and improvement actions.
· Provide practical support to managers and coordinators in relation to incident management, feedback processes and corrective actions.
· Contribute to system improvements and digital transformation projects relevant to quality, compliance, reporting and continuous improvement.
· Support staff in the correct use of relevant quality, incident, risk and compliance systems, including CAMMS or other organisational systems.
Training, Coaching and Stakeholder Support
· Provide guidance and practical support to managers, coordinators and staff regarding quality assurance, compliance, audits and continuous improvement requirements.
· Assist with developing and delivering training, information sessions or resources relating to quality systems, documentation, audit readiness and regulatory requirements.
· Build positive working relationships across Valmar services and promote shared responsibility for quality and compliance.
· Support services to understand and apply Valmar’s quality management framework in day-to-day operations.
Reporting and Data Analysis
· Prepare reports, summaries and updates on quality assurance activities, audit findings, improvement actions, incidents, feedback, risks and compliance matters.
· Assist with analysing data to identify trends, gaps, performance indicators and areas for improvement.
· Provide timely updates to the Manager – Continuous Improvement and other relevant stakeholders.
· Support preparation of reports for senior leadership, committees, Board reporting or external regulators as required.
· Submit and manage reports to the Aged Care Quality and Safety Commission and NDIS Quality and Safeguards Commission as required under mandatory reporting requirements.
General Responsibilities
· Work in accordance with Valmar’s values, Code of Conduct, policies and procedures.
· Maintain confidentiality and handle sensitive information professionally.
· Participate in team meetings, training, supervision and performance development activities.
· Maintain accurate records in accordance with Valmar’s record management requirements.
· Undertake any other reasonable duties as directed to support quality, compliance, risk management and client-centred service delivery.
Selection Criteria:
1. Demonstrated experience in quality assurance, compliance, risk management, audit, governance or continuous improvement, preferably within aged care, disability, community services, health or another regulated human services environment.
2. Knowledge of relevant quality and regulatory frameworks, such as NDIS Practice Standards, NDIS Quality and Safeguards requirements, Aged Care Quality Standards, WHS obligations and/or related compliance frameworks.
3. Strong written communication skills, including the ability to prepare clear reports, audit findings, action plans, correspondence and documentation.
4. Strong analytical and problem-solving skills, including the ability to interpret information, identify trends and recommend practical improvements.
5. High level of attention to detail and accuracy in documentation, record keeping and compliance monitoring.
6. Well-developed interpersonal skills, with the ability to build positive working relationships and support staff across different service areas.
7. Demonstrated ability to manage competing priorities, meet deadlines and follow up actions to completion.
8. High level of computer literacy, including Microsoft Office and ability to use organisational systems for quality, risk, incident or compliance management.
9. Ability to obtain and maintain a NDIS Worker Screening check clearance.
Desirable:
1. Previous experience working in an aged care, NDIS, disability, community services or not-for-profit environment.
2. Experience using CAMMS or similar incident, risk, quality or compliance management systems.
3. Experience conducting audits, accreditation, certification or verification processes.
4. Training or certification in quality management, auditing, risk management, continuous improvement or similar methodology.
Qualifications and Licences:
· Hold at least a Certificate IV, and must work towards the attainment of a Diploma in Quality Management, Community Services, Disability, Aged Care, Compliance, Business Administration, Human Resources or another relevant discipline.
· Current Australian driver licence.
· Valid NDIS Worker Screening Check, or willingness to obtain.
· Full Australian working rights.
This is a six-month fixed-term position.
