Are you looking to join a dynamic team working within a leading international company, supporting corporate, sport, broadcast and entertainment industries. As a Crewing Operations Coordinator, you will be responsible for the coordination and booking of onsite crew for all live events in a professional, effective and timely manner. This role is ideal for someone with exceptional relationship management and customer service skills, along with a high level of time management and attention to detail.

Day-to-Day duties of the Role:

  • Source and book technical crew for multiple events worldwide, including negotiation of rates and expenses.
  • Plan and arrange complex crew travel arrangements, including flights, trains, car hire, and transfers.
  • Manage the application and processing of VISA, work permits, or second passport requirements.
  • Handle event accreditation processes and maintain accurate internal records.
  • Manage and maintain on-site engineer and freelancer diaries on our in-house system, Rental Point.
  • Monitor and process Purchase Orders and ensure timely reconciliation of all invoices and purchase orders for travel and expenses.
  • Assess freelance crew at the time of engagement against IR35 tax rules and maintain accurate internal records.
  • Source and process new freelancers through the contractor approval process.
  • Update and maintain Public Liability Insurance (PLI) data and crew data including passports, certification, and company status.
  • Assist in the administration and booking of all on-site crew training and maintain the crew training matrix.

Required Skills & Qualifications:

  • Ability to plan and prioritise workloads and multi-task under pressure.
  • Strong and confident communication skills with positive interpersonal abilities.
  • Proven track record in customer service and meticulous attention to detail.
  • General computer literacy with good working knowledge of Microsoft Office packages.
  • Pro-active and self-motivated with the ability to use initiative and escalate issues when appropriate.
