Corporate Real Estate & Facility Manager

The Corporate Real Estate & Facility Manager is responsible to oversee all property and facility related aspects of FM's Science and Technology Center, Luxembourg property operations, and overseeing day-to-day operations and maintenance of that assigned property. Ensures facilities operate efficiently, comply with company standards, and support a safe, productive work environment. Manages financial processes including budgets for operations and capital, vendor relationships, and facility upkeep including janitorial, landscaping, building systems, research and lab operations and food services. Direct oversight of external facilities team, food service team, and other providers. Assists with development of any future fit-out requirements on construction projects. Acts as primary liaison between internal stakeholders, service providers, and management to ensure operational excellence. Responsible for generating annual capital and operational budgets. Requires strong working knowledge of local building codes, workplace safety, and facilities regulations.
Responsibilities include:
Facilities Operations & Maintenance
• Oversee functionality and maintenance of critical equipment by applying corporate facilities standards, lease requirements, and engineering best practices
• Manage preventative maintenance and reactive repair by skilled tradesmen
• Coordinate repair and maintenance activities to minimize downtime and ensure continuity
• Conduct weekly facility inspections and maintain checklists to proactively address issues
• Ensure overall facility upkeep meets industry standards and supports a productive work environment
• Collaborate with FM engineering, risk and security teams
Safety, Security & Compliance
• Ensure all property and facility related safety equipment is functional and maintain accurate records
• Resolve access badge issues and security concerns in collaboration with Security
• Participate and provide recommendations in EHS meetings & engineering audits
• Maintain accurate asset tracker and ensure compliance with Security agreements
• Ensure property and facility related safety programs are in place
Financial Management
• Manage and process invoices related to Corporate Real Estate (CRE), including office rent, electricity, parking, and other associated costs
• Ensure timely tracking and payment of all property and facility-related expenses
• Collect and submit energy & budgetary data to internal stakeholders
• Manage property and facility related capital and operational budgets
• Plan and manage annual facilities operating budget
Property and Facility Vendor & Service Provider Management
• Manage direct vendors for site-related activities (HVAC, janitorial, food services and catering staff)
• Manage RFP and vendor selection process
• Negotiate contracts
• Liaise with service providers to resolve property-related issues promptly, balancing cost, urgency, and business impact
• Develop and monitor specifications for facilities vendors
• Manage third-party service providers to ensure assets are maintained to Class A standards
• Determine specific service contract requirements, develop scope of work, solicit bids, evaluate proposals and monitor contract performance
Property and Facility Staff Management
• Lead and coordinate internal and external Facilities staff for assigned properties
• Assign work orders, set priorities, and coach team members on troubleshooting and problem resolution
• Foster an efficient working environment essential to performance of the business
Space Management & Construction Support
• Provide facilities oversight for assigned office locations
• Coordinate space planning and operational alignment
• Review and recommend value-add facilities related capital projects
• Review construction plans with FM Engineering for construction and renovation projects and maintain oversight
• Oversee property and facility related construction projects
• Represent FM on Contractors management and ensure Contractors' safety compliance
Meetings & Reporting
• Maintain priority task tracker and conduct weekly/monthly review meetings with service providers
• Hold weekly in-house team meetings to review ongoing issues and ensure timely resolution
• Responsible for incident control, management, activation of rightful parties for incident response and timely reporting/escalation
Qualifications
Qualified candidates must have:
- Bachelor’s degree preferably in Engineering, Facility Management, Property Management degree or equivalent education in related field
- 10 years of prior experience in a facility/property management capacity including managing external vendors and building system expertise. Certified Facilities Manager (CFM) is preferred. Experience in commissioning a new facility a plus.
- Working knowledge of facilities-related laws and regulations including building codes, fire and life safety, workplace health and safety, environmental and accessibility requirements
- Strong technical knowledge of mechanical, electrical, plumbing, HVAC, data center operations, safety systems, architectural, energy management, reporting and landscaping
- Ability to interpret and apply local regulatory requirements (permits, inspections, certifications) to facilities operations, maintenance, and construction projects
- Thorough understanding of applicable local regulatory regulations related to environmental, health and safety, risk management, and global business continuity
- Proven ability to assess and resolve complex facilities and operational issues by balancing risk, cost, safety and business impact
- Ability to work autonomously in a matrixed environment, exercising sound judgement
- Ability to quickly adjust priorities, adapt and change direction in fast-paced environment
- Ability to evaluate stakeholder needs and prioritize competing requests
- Working knowledge of operating and capital expense planning including budget forecasting, tracking and cost control
- Strong understanding of contract management and negotiation
- Excellent communication and presentation skills, both oral and written
- A history of successful facilities management leadership with demonstrated quantifiable results
- Exceptional customer service and relationship-building: strong follow-through and dedication to excellence in service
- Fluency in English and French required. German is a plus.
