At Vista Toyota in Casper, Wyoming, every outstanding service experience begins with the first conversation. We’re looking for a customer-focused, organized Customer Experience Specialist to join our Service team in Casper, Wyoming.

In this role, you’ll serve as a trusted first point of contact for our customers, helping schedule vehicle service, answering questions, and providing timely follow-up. You’ll also support the department with essential clerical duties, including data entry, scanning, filing, and maintaining accurate customer records.

No automotive experience is necessary. If you bring a customer-service mindset, strong organizational skills, and attention to detail, we’ll provide the training and tools you need to succeed.

Starting Pay: $20.00 per hour + based on experience

Position Overview:

As a Customer Experience Specialist, you’ll help create a positive, seamless experience for customers before they arrive at the dealership. You’ll communicate with customers by phone, email, and text to schedule service appointments, answer questions, confirm upcoming visits, and provide helpful follow-up.

You’ll also perform administrative and clerical tasks that help the Service Department operate efficiently. Your ability to communicate professionally, enter information accurately, organize documents, and manage multiple priorities will contribute directly to customer satisfaction and the department’s success.

What You’ll Do:

  • Deliver an exceptional customer experience by phone, email, text, and online
  • Serve as a trusted first point of contact by listening to customer needs and providing helpful solutions
  • Answer incoming Service Department calls promptly and professionally
  • Schedule service appointments accurately and efficiently
  • Confirm appointments and follow up with customers regarding questions or scheduling needs
  • Communicate with customers through their preferred method, including phone, text, or email
  • Maintain accurate customer and appointment information in the dealership’s CRM and scheduling systems
  • Perform routine data entry and update customer records
  • Scan, organize, and electronically file service-related documents
  • Maintain organized paper and electronic filing systems
  • Assist with document preparation, recordkeeping, and other general clerical duties
  • Review information for accuracy and correct or report discrepancies
  • Partner with Service Advisors and other team members to support a consistent customer experience
  • Respond to customer questions with empathy, professionalism, and urgency
  • Continuously look for opportunities to improve processes and exceed customer expectations

Qualifications:

  • Minimum of 2-3 years of customer service or administrative experience
  • Previous experience in hospitality, healthcare, banking, retail, customer support, office administration, or a contact center is highly valued
  • Strong computer, keyboarding, and data-entry skills
  • Experience with scanning, filing, document management, or maintaining electronic records is preferred
  • Experience with CRM software or appointment-scheduling systems is a plus but not required
  • Ability to handle confidential information with professionalism
  • Must be at least 18 years of age
  • Must be authorized to work in the United States
  • Ability to successfully complete a pre-employment background check and drug screening for illegal substances
